Full Job Description

Position Overview

We are seeking a professional, dependable, and customer-focused Front Desk Receptionist / Administrative Assistant to be the first point of contact for our company. This role is an integral part of our team, providing administrative support for office operations, accounting, and transportation operations.

The ideal candidate is organized, detail-oriented, enjoys working with people, and thrives in a fast-paced environment. Success in this position requires strong communication skills, accuracy, the ability to multitask, and a willingness to learn new software and business processes.

Responsibilities

Welcome customers, drivers, vendors, and visitors in a professional and friendly manner.
Answer and direct incoming phone calls using a multi-line phone system.
Schedule appointments and assist with calendar management.
Receive, sort, and distribute incoming mail and deliveries.
Prepare outgoing mail and shipping packages.
Process incoming customer payments and assist with check processing.
Prepare and distribute customer invoices.
Maintain accurate customer records and perform data entry with a high level of accuracy.
Utilize Microsoft Dynamics GP (Great Plains) to support administrative and accounting functions.
Support daily transportation operations using the Trimble Transportation Management System (TMS).
Monitor and update shipment information within the TMS to ensure accurate and timely records.
Perform customer and driver check calls to verify shipment status and update load information.
Assist with maintaining accurate dispatch, shipment, and customer data.
Work closely with operations and accounting teams to ensure information is complete and accurate.
Order office supplies and assist with general office organization.
Perform filing, scanning, copying, and other administrative duties as needed.
Support special projects and additional administrative tasks assigned by management.

Qualifications

Previous receptionist, administrative assistant, customer service, or office support experience preferred.
Excellent verbal and written communication skills.
Strong organizational skills and exceptional attention to detail.
Ability to prioritize multiple tasks in a fast-paced environment.
Proficiency with Microsoft Office (Word, Excel, Outlook).
Comfortable using Google Workspace (Gmail, Calendar, Docs, Sheets, Drive).
Experience with Microsoft Dynamics GP, ERP software, or accounting software is a plus.
Experience using a Transportation Management System (TMS), such as Trimble, is preferred but not required.
Experience in transportation, logistics, or trucking is a plus.
Professional phone etiquette and outstanding customer service skills.
Ability to work independently while collaborating effectively with a team.
