Job Overview

We are seeking an energetic, highly organized, and patient-focused Dental Office Manager to oversee the daily operations of our busy dental practice. This key leadership role ensures efficient front office operations, exceptional patient experiences, and seamless communication between patients, providers, and staff. The ideal candidate is proactive, detail-oriented, and experienced in dental office administration, with the ability to lead a team while maintaining a welcoming and professional environment. Your leadership will help support outstanding patient care, optimize practice efficiency, and contribute to the continued growth of our office.

Responsibilities

Oversee the daily operations of the dental office, ensuring efficient workflows and a positive patient experience.
Manage front office staff, schedules, and daily administrative functions to maintain smooth office operations.
Coordinate provider and staff schedules while managing patient appointments to maximize productivity and minimize scheduling conflicts.
Supervise patient check-in and check-out processes, ensuring accurate documentation and exceptional customer service.
Handle incoming calls professionally, answer patient inquiries, schedule appointments, and manage treatment follow-ups.
Verify insurance eligibility, assist with treatment plan coordination, and support billing and collections processes.
Monitor office supplies, dental inventory, equipment maintenance, and vendor relationships to ensure uninterrupted operations.
Maintain accurate patient records and ensure compliance with HIPAA, OSHA, and other applicable healthcare regulations.
Assist with financial reporting, accounts receivable, and practice performance metrics using dental practice management software.
Foster a positive, team-oriented culture through staff training, coaching, and performance management.
Resolve patient concerns professionally and efficiently while promoting excellent patient satisfaction.
Support dentists and clinical staff by ensuring effective communication and coordination throughout the practice.

Qualifications & Experience

Proven experience as a Dental Office Manager or in a dental administrative leadership role.
Experience with dental practice management software such as Dentrix, Eaglesoft, Open Dental, or similar systems.
Knowledge of dental insurance verification, claims processing, billing, and treatment planning.
Strong understanding of HIPAA, OSHA, and dental office compliance requirements.
Excellent leadership, organizational, and problem-solving skills with the ability to manage multiple priorities in a fast-paced environment.
Outstanding verbal and written communication skills with exceptional patient service and phone etiquette.
Proficiency with Microsoft Office Suite (Word, Excel, Outlook).
Experience with payroll, budgeting, or bookkeeping is preferred.
Bilingual abilities are a plus to effectively communicate with a diverse patient population.
High school diploma or equivalent required; additional education in healthcare administration or business management is preferred.
