Office & Operations Coordinator

Company: Red Roll Off Containers LLC
Location: Stockbridge, Georgia
Position: Full-time, in-office
Schedule: Monday–Friday 8:30am-5pm
Compensation: $24–$28 per hour, depending on experience

About the Position

Red Roll Off Containers is a growing dumpster rental and waste services company seeking a dependable, highly organized Office & Operations Coordinator.

This person will work closely with the owner and help manage the company’s daily administrative, billing, financial-support, compliance, and customer-service responsibilities. The goal of this position is to keep the office organized, ensure billing and administrative tasks are completed accurately and on time, and allow the owner to focus more heavily on company growth, sales, and strategic projects.

This is an in-office position with significant responsibility and an opportunity to grow into an Office Manager role as the company expands.

Primary Responsibilities: Billing, Invoicing, and Accounts Receivable

Complete customer billing accurately and on schedule.
Prepare and send customer invoices.
Send recurring and weekly invoices through Square and other customer portals.
Upload qualifying invoices to the company’s factoring provider.
Clear completed billing within CurbWaste, the company’s booking and dispatch software.
Record customer payments in Square, CurbWaste, and other applicable systems.
Monitor unpaid invoices and follow up professionally with customers.
Handle billing and email communication with waste brokers and commercial accounts.
Follow up with recycling vendors and other partners to confirm that payments are received.
Help maintain accurate accounts-receivable records.
Upload monthly bank and credit card statements to Pilot, a 3rd party accounting firm.

Accounts Payable and Vendor Administration

Organize vendor invoices and prepare bills for payment.
Pay approved bills according to company procedures.
Review vendor invoices for incorrect rates, duplicate charges, or other discrepancies.
Communicate with vendors when billing corrections are necessary.
Organize receipts and supporting financial documents.
Make check and cash deposits and maintain accurate deposit records.
Maintain appropriate documentation for all transactions.

Payroll and Bookkeeping Support

Prepare and process payroll using established company procedures.
Complete basic QuickBooks entries and administrative bookkeeping tasks.
Coordinate with Pilot, the company’s online bookkeeping provider.
Respond to bookkeeping questions and supply requested records.
Communicate with the company’s accountant regarding routine questions and documentation.
Prepare financial and administrative records for owner review.
Assist with year-end payroll documents and other recurring accounting requirements.

Final payroll approval and major financial decisions will remain with the owner.

Customer and Office Communication

Monitor and respond to routine company emails.
Route sensitive, unusual, or high-level matters to the owner.
Communicate professionally with customers, vendors, brokers, accountants, insurance representatives, and other business partners.
Prepare routine customer quotes using company pricing, templates, and approved AI tools.
Send quotes and complete appropriate follow-up.
Send credit applications to potential customers.
Process completed credit applications according to company procedures.
Maintain organized digital and physical customer records.
Monitor the company’s Tawk.to live-chat system and confirm that the AI chat feature is operating appropriately.

Compliance, Insurance, and Audit Support

Coordinate annual motor vehicle record checks for company drivers.
Maintain calendars and reminders for recurring compliance requirements.
Communicate with the company’s insurance broker regarding routine questions, documents, vehicle information, and employee information.
Coordinate with third-party providers regarding employee and driver compliance.
Assemble records for annual workers’ compensation audits.
Assist with basic local property-tax forms and other recurring business filings.
Organize documents requested by accountants, insurers, auditors, or compliance providers.
Escalate significant compliance concerns to the owner immediately.

Scale-House and Operations Support

Provide scheduled lunch coverage for the primary scale-house employee.
Cross-train on the company’s scale-house procedures.
Weigh customers in and out accurately.
Process transactions and provide professional customer service.
Provide limited backup coverage during employee absences, vacations, or peak operating periods when needed.
Maintain accurate scale-house transaction records while providing coverage.

Scale-house coverage is a secondary responsibility. The primary focus of this position remains office administration, billing, and business support.

Qualifications

At least two years of administrative, office coordination, bookkeeping support, billing, or related experience preferred.
Experience with invoicing, accounts receivable, accounts payable, or payroll strongly preferred.
Experience with QuickBooks, Square, customer-management software, dispatch software, or similar platforms is beneficial.
Strong computer, email, data-entry, and document-management skills.
Excellent attention to detail and numerical accuracy.
Strong written and verbal communication skills.
Ability to manage recurring deadlines without constant reminders.
Ability to handle confidential financial, customer, and employee information appropriately.
Comfortable learning multiple computer systems and business processes.
Able to work independently while knowing when owner approval is required.
Experience in waste services, trucking, logistics, construction, home services, or another operational business is a plus.

The ideal candidate enjoys creating order, completing tasks accurately, and making sure nothing falls through the cracks. This person takes ownership, follows through on commitments, communicates professionally, and is comfortable working in a growing small-business environment where responsibilities may evolve over time.

We are looking for someone who can become the administrative center of the company—not someone who must be given step-by-step direction every day.

Schedule: Monday through Friday, 8:30 a.m.–5:00 p.m. This is a full-time, in-office position.

Compensation and Growth

$24–$28 per hour, based on applicable experience.
Full-time, in-office employment.
Regular schedule Monday through Friday.
Initial training and a formal performance review after approximately 90 days.
Opportunity to grow into an Office Manager position as the company expands.
9 Paid Holidays and vacation pay after 1 year of service
