Position Title: Sales Support Coordinator

Department: Sales

Location: On-site

Compensation Range (Entry Level): $45,000 – $55,000 annually

Benefits:

Position Summary

BILLY Footwear is seeking an enthusiastic, organized, and detail-oriented Sales Support Coordinator to provide administrative and operational support to our sales team. This entry-level role is ideal for someone looking to begin a career in sales operations, customer support, or account management within the footwear and consumer goods industry.

The Sales Support Coordinator plays a key role in supporting daily sales activities, maintaining accurate customer information, coordinating product samples, and ensuring our sales team has the tools and resources needed to deliver an exceptional customer experience. The ideal candidate is eager to learn, enjoys working in a collaborative environment, and is passionate about contributing to a mission-driven brand, focused on accessibility and inclusion.

Key Responsibilities

Sales Team Support

Provide day-to-day administrative support to Sales Representatives and Sales Leadership.

Assist with order entry, updates, and tracking to ensure timely and accurate processing.
Support new customer account setup by collecting required information and maintaining customer records.
Prepare sales materials including line sheets, price lists, presentations, and product information documents.
Update and maintain customer information, activities, and opportunities within Pipedrive CRM.
Support the sales team with general administrative tasks and follow-up activities.

Sample Management & Logistics

Organize and maintain the sales sample inventory within the office, ensuring products are neatly stored and easily accessible.

Pull, pack, and ship product samples, catalogs and other sales assets for sales representatives, retailers, prospective customers, and other partners.
Prepare sample assortments for customer meetings, trade shows, and internal sales presentations.
Track sample requests and maintain records of shipments and returns.
Assist in monitoring sample inventory levels and communicate replenishment needs to appropriate teams.
Support trade show preparation by organizing samples and coordinating shipment logistics.

Customer & Partner Support

Serve as a point of contact for basic customer inquiries regarding product availability, order status, and account information.

Support communication with wholesale partners, retailers, and distributors through timely follow-up and coordination.
Escalate customer concerns or issues to appropriate internal team members when necessary.
Foster positive relationships through responsive and professional communication.

Sales Operations & Reporting

Assist in preparing weekly and monthly sales reports.

Help maintain CRM data accuracy by updating customer records and sales activities.
Support pipeline management activities and sales forecasting efforts.
Assist with maintaining current pricing information and promotional documentation.
Item setups in various internal and external platforms.

Trade Show & Event Support

Support the planning and execution of trade shows, sales meetings, and customer events.

Assist with coordinating booth materials, product samples, and event logistics.
Participate in pre-event preparation and post-event follow-up activities.

Cross-Functional Collaboration

Work closely with Customer Service, Operations, Product Development, Marketing, and Finance teams to support sales initiatives.

Communicate important updates regarding inventory, product launches, and sales activities.
Contribute ideas for improving processes and enhancing team efficiency.
Provide cross-departmental support, as needed.

Performs Other Related Duties as Assigned

Qualifications

Required Qualifications

High school diploma or equivalent required; Associate's or Bachelor's degree in Business, Marketing, Communications, or a related field preferred. 0–2 years of experience in customer service, administrative support, retail, sales support, or related roles.

Proficiency in Microsoft Office Suite, including Excel, Outlook, and PowerPoint.
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
Positive attitude and willingness to learn new systems and processes.
Strong customer service orientation and problem-solving skills.
