Job Summary

We are seeking a dynamic and detail-oriented Bookkeeper/Administrative Assistant to join our team! In this vital role, you will manage financial records, handle administrative tasks, and provide exceptional support to ensure smooth office operations. Your proactive approach, strong organizational skills, and technical proficiency will contribute to our company's efficiency and growth. This paid position offers an exciting opportunity to develop your skills in bookkeeping, office management, and customer service within a collaborative environment.

Responsibilities

Maintain accurate financial records using QuickBooks and other productivity software, including invoicing, expense tracking, and bank reconciliations
Manage front desk operations by greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Support office management tasks such as filing, data entry, proofreading documents, and organizing spreadsheets for various projects
Assist with calendar management and scheduling appointments for team members or clients using Google Workspace or Microsoft Office tools
Provide excellent customer service by responding promptly to client inquiries via phone or email and maintaining positive client communication
Support bookkeeping activities related to billing, payments, and financial reporting to ensure timely and accurate record-keeping
Handle clerical duties such as copying, scanning, organizing files, and maintaining office supplies to ensure an efficient workspace

Requirements

Proven experience with office management, administrative support, or clerical roles in a professional setting
Strong computer literacy including proficiency in Microsoft Office (Word, Excel), Google Workspace (Docs, Sheets), and data entry skills
Experience with QuickBooks or similar accounting software is highly preferred for bookkeeping responsibilities
Excellent organizational skills with the ability to multitask effectively in a fast-paced environment
Bilingual abilities are a plus to support diverse client interactions and team communication
Exceptional phone communication skills with knowledge of multi-line phone systems and phone etiquette
Prior experience as a receptionist or personal assistant is advantageous for front desk duties and calendar management
Demonstrated attention to detail in proofreading documents and managing spreadsheets accurately
Ability to handle sensitive information with confidentiality and professionalism
