Full Job Description

NONPROFIT EXPERIENCE REQUIRED

The Bookkeeper for a nonprofit organization is responsible for maintaining accurate financial records, processing financial transactions, and ensuring compliance with nonprofit regulations. This role involves managing accounts payable and receivable, preparing financial reports, reconciling bank statements, and assisting with budgeting and financial planning. The Bookkeeper will work closely with the nonprofit’s finance team, executive director, and external CPA firm and auditors to ensure the financial health and compliance of the organization.

Key Responsibilities:

Financial Recordkeeping:
Maintain accurate and up-to-date financial records for all nonprofit activities.
Track and categorize all financial transactions, ensuring they align with the organization’s chart of accounts.
Record donations, grants, and other income sources.
Ensure that all records are consistent with nonprofit accounting standards (e.g., fund accounting).
Accounts Payable & Receivable:
Process accounts payable, ensuring vendors and contractors are paid on time and accurately.
Manage accounts receivable, including invoicing and ensuring that donations and pledges are properly recorded and processed.
Monitor and track outstanding payments and ensure timely follow-up on overdue accounts.
Bank Reconciliation:
Reconcile bank statements with accounting records on a regular basis.
Investigate and resolve any discrepancies between financial records and bank statements.
Ensure that all bank transactions are accurately recorded.
Budgeting & Financial Planning:
Assist in the preparation and monitoring of the organization’s annual budget.
Track expenditures and ensure the organization stays within its budgetary limits.
Help prepare monthly, quarterly, and annual financial reports for management, including budget versus actual comparisons.
Financial Reporting:
Prepare accurate and timely financial reports for the board of directors, executive team, and stakeholders.
Assist with the preparation of month-end and year-end financial statements and reports required by auditors or government entities.
Ensure financial statements comply with nonprofit accounting standards, including fund allocation.
Grant & Fund Management:
Track and report on restricted and unrestricted funds.
Ensure proper allocation and spending of grants and donations according to donor restrictions.
Assist in preparing financial documents for grant applications and audits.
Compliance & Internal Controls:
Ensure the organization complies with federal, state, and local tax regulations, nonprofit laws, and industry best practices.
Help ensure that the organization follows proper internal controls to protect against financial mismanagement.
Maintain documentation for audit purposes and assist auditors during the annual audit process.
Payroll Administration:
Assist with processing payroll
Maintain records of employee wages, benefits, and deductions.
General Administrative Support:
Handle other administrative tasks related to the financial operations of the organization.

Skills & Qualifications:

Proven experience as a bookkeeper or in an accounting role, preferably in a nonprofit environment.
Knowledge of nonprofit accounting principles and fund accounting.
Proficient in accounting software (e.g., QuickBooks) and Microsoft Office Suite (Excel, Word).
Familiarity with nonprofit tax regulations and compliance requirements.
Strong attention to detail, accuracy, and organizational skills.
Ability to work independently and as part of a team.
Excellent written and verbal communication skills.
Strong problem-solving abilities and analytical thinking.
Bachelor’s degree in Accounting, Finance, or a related field preferred, though not required.
Nonprofit-specific certifications (e.g., Nonprofit Accounting Professional) are a plus.

Working Conditions:

Office environment with potential for hybrid or remote work.
Occasional overtime during busy periods, such as year-end reporting or audit preparation.
Collaborative work environment with interactions across departments and with external stakeholders (donors, auditors, etc.).

Knowledge and ability to drive a vehicle with a license.

Walk and climb up stairs when necessary.

Carry, lift, and move up to 20 pounds.

Able to reach with hands and arms. Handle, finger, grasp and feel office equipment, such as, but not limited to, computers, printers, phones, postage machines, fax machines.

Sit, walk, and stand for periods of time.

Speak, hear and see throughout the day including have depth perception and color vision.

Job Type: Full-time

Pay: $25.00 - $28.00 per hour

Expected hours: 40 per week
