Full Job Description

Job Overview

We are seeking a dynamic and highly organized office manager to provide essential temporary coverage during a maternity leave.

This is a remote office position with weekly in person meetings.

This role is vital in ensuring the smooth operation of our remote office environment, supporting administrative functions, managing vendor relationships, and overseeing financial processes. The ideal candidate will bring energy, exceptional organizational skills, and a proactive approach to managing daily office activities.

This position offers an exciting opportunity to lead office operations with enthusiasm and professionalism while maintaining a positive and productive workplace atmosphere.

Duties

Scheduling and route planning using our CRM SingleOps
answering the phone and speaking with clients
Oversee daily office operations, ensuring efficiency and organization across all departments
Manage scheduling for meetings, appointments, and events, coordinating calendars for multiple team members
Supervise administrative staff and coordinate training & development initiatives to enhance team performance
Handle vendor management by negotiating contracts, processing invoices using QuickBooks or similar financial software, and maintaining vendor relationships
Support human resources functions including onboarding new employees, maintaining personnel files, and assisting with payroll processing
Maintain accurate bookkeeping records, manage filing systems, and ensure compliance with office policies and procedures
Serve as the front desk point of contact, answering multi-line phone systems with professional phone etiquette and managing visitor check-ins
Qualifications
Proven experience in office management or administrative roles within a professional environment
Proficiency in QuickBooks, financial software, and general bookkeeping practices
Demonstrated supervisory experience with the ability to lead and motivate teams effectively
Excellent organizational skills with the ability to manage multiple priorities simultaneously
Experience in event planning, calendar management, and vendor negotiations
Knowledge of human resources processes including onboarding, payroll support, and employee relations
Familiarity with medical office management or healthcare-related administrative tasks is a plus
Exceptional communication skills paired with technical proficiency in office tools such as Microsoft Office Suite or Google Workspace
Ability to adapt quickly to changing priorities while maintaining attention to detail
