Full Job Description

The Payroll Administrator is responsible for the accurate and timely processing of multi-state U.S. and global payroll for a mid-sized, highly collaborative organization. This role supports a high-touch payroll and benefits team, ensuring compliance with complex regulatory requirements while delivering exceptional service to employees. The position requires strong attention to detail, confidentiality, and the ability to work cross-functionally in a mission-driven environment.

Responsibilities

Key Goals of Role

Ensure accurate, compliant, and timely payroll processing across multiple jurisdictions
Maintain high levels of data integrity, audit accuracy, and regulatory compliance
Deliver "white-glove" payroll support to employees and internal stakeholders

Responsibilities

Process bi-weekly multi-state U.S. payroll and monthly global payroll
Maintain and update employee payroll records and master data files
Set up payroll for new hires, ensuring compliance with federal, state, and international regulations
Administer payroll changes, timekeeping data, direct deposits, and special payments (e.g., manual checks, stipends)
Manage payroll deductions including taxes, benefits, and garnishments
Perform payroll reconciliations, including general ledger and retirement/pension reporting
Complete quarterly and annual tax filings and required payroll reporting
Monitor and reconcile payroll-related bank transactions
Collaborate with HR, accounting, and third-party vendors to resolve payroll discrepancies
Utilize HRIS and payroll systems to audit data, analyze issues, and improve processes
Maintain data integrity through reporting, audits, and system checks
Support employees with payroll-related inquiries and provide training on system functionality (time entry, PTO, benefits updates)
Assist with open enrollment and employee payroll/benefit changes
Participate in audits, reporting, and special payroll-related projects
Work within a collaborative, team-oriented environment that requires strong cross-functional coordination
Maintain strict confidentiality of payroll and employee data
