Full Job Description

Middle Management Association (MMA) is hiring a full-time Office Manager.

This position executes the business functions of the MMA office, including but not limited to:

· Financial Management and Bookkeeping - Manage the organization's financial records using QuickBooks Online while ensuring accuracy, accountability, and compliance with organizational policies.

· Payroll Administration - Administer payroll through ADP while ensuring timely, accurate, and confidential processing.

· Membership Services and Customer Support - Provide exceptional service to members through timely communication and professional assistance.

· Information Technology Support - Provide basic onsite technology support that enables staff, leadership, and members to effectively conduct meetings and perform daily operations.

· Microsoft Office Administration - Utilize Microsoft Office applications to support organizational operations and assist staff in maximizing productivity.

· Microsoft Teams Administration - Maintain Microsoft Teams architecture and documentation to facilitate communication among staff, Board members, Committees, and negotiation team.

· Membership Communications - Develop and distribute timely communications that keep members informed and engaged.

· SEMA4 Reporting and Membership Database Administration - Manage the complex bi-weekly SEMA4 reporting process and ensure accurate integration with the organization's membership database.

· Membership Development - Support the organizational strategies that recruit, engage, and retain members.

· Office Management and Written Communications - Direct daily office procedures, workflows, and logistics to maximize organizational efficiency. Serve as the primary point of contact for staff, Board, membership, vendors and the public. Prepare professional written materials supporting organizational initiatives.

· Membership Activities and Organizational Relations - Coordinate activities that strengthen relationships between the organization and its membership.

Required Knowledge, Skills, and Abilities:

Proficiency with QuickBooks Online.
Experience processing payroll using ADP.
Advanced Microsoft Office skills (Word, Excel, Outlook, PowerPoint, Mail Merge).
Microsoft Teams administration.
Experience with Mailchimp or similar email marketing software.
Experience maintaining membership databases.
Ability to analyze complex payroll and membership data, including SEMA4 reports.
Excellent written and verbal communication skills.
Strong organizational and project management abilities.
Excellent customer service skills.
Ability to manage multiple priorities while meeting deadlines.
Ability to maintain confidentiality.
Ability to troubleshoot basic technology issues.
Ability to work independently while collaborating effectively with staff, Board members, and Committees.

Minimum Qualifications:

Associate's degree in Business Administration, Accounting, Office Administration, Public Administration, or related field; bachelor's degree preferred.
Three to five years of progressively responsible administrative or office management experience.
Experience with bookkeeping and payroll administration, QuickBooks Online required and ADP preferred.
Experience supporting membership organizations, nonprofit organizations, labor organizations, or public sector organizations preferred.
Equivalent combination of education and experience may be considered.
