Full Job Description

Position Summary

We are a mission-driven staffing agency specializing in healthcare and human services, seeking a highly organized, detail-oriented, and compassionate Operations/Office Manager to oversee daily administrative, operational, and HR functions. In this key leadership role, you will ensure smooth office operations, maintain strict compliance with state regulations, support efficient and compliant staffing placements, and contribute to a positive, team-oriented environment that makes a real difference in people's lives.

The ideal candidate thrives in a fast-paced setting, has excellent interpersonal skills, and is passionate about regulatory adherence and quality staffing.

Key Responsibilities

Administrative & Office Operations

Oversee daily office functions, including front desk/reception, phone/email correspondence, meeting scheduling, and maintaining a welcoming, professional environment for staff, clients, and partners.
Manage office supplies, vendor relations, and basic budgeting to support efficient operations.

Staffing & Recruitment Support

Coordinate candidate onboarding processes, including background checks (CORI, SORI, national checks), reference verifications, training documentation, and credential tracking to enable quick, compliant placements.
Assist with recruitment and retention: post jobs, screen applicants, schedule interviews, conduct new hire orientations, and track staffing shortages/fill rates.

Compliance, Records & Reporting

Maintain accurate, confidential records for candidates, active placements, and terminated staff in full compliance with regulations and agency policies.
Ensure operational compliance through up-to-date policies, procedures, and audit-ready documentation.
Prepare reports on key staffing metrics (e.g., fill rates, turnover, compliance status) and support quality improvement initiatives.

Team & Communication

Serve as the primary point of contact for internal staff, external providers, candidates, and partners; handle inquiries professionally and escalate issues as needed.
Foster a supportive, collaborative team culture aligned with our mission of providing reliable, compassionate staffing.

Required:

3+ years of office management, administrative, operations, or HR-related experience.
Strong proficiency with computer tools.
Excellent organizational, multitasking, and problem-solving skills with meticulous attention to detail and strict confidentiality.
Outstanding communication and interpersonal skills; ability to interact compassionately and professionally with diverse groups.
Ability to work independently while thriving in a collaborative, team-oriented environment.
Reliable transportation.

Preferred:

Experience in staffing, recruitment, healthcare/human services, or HR administration (e.g., onboarding, background checks, compliance).
Familiarity with Massachusetts regulations (CORI, SORI, etc.).
