Position Title: Personal Assistant / Executive Assistant

Miami Beach executive looking for part-time assistant. 20hrs a week on average. Hybrid/on-site role ideal for someone with a flexible schedule mornings and afternoons. Local candidates preferred, great LONG-TERM opportunity for a family office in this area. Please apply now for consideration!

Position Summary

We are seeking a highly organized, proactive, and discreet Personal Assistant / Executive Assistant to support a busy executive with both professional and personal responsibilities. The ideal candidate is detail-oriented, trustworthy, adaptable, and able to manage multiple priorities in a fast-paced environment while maintaining confidentiality and professionalism.

Key Responsibilities

Executive Support

Manage calendars, appointments, and meetings including setup onsite
Coordinate schedules and prioritize time-sensitive matters
Prepare meeting agendas, presentations, reports, and correspondence
Make phone calls, send emails and general research and follow up inquiries
Track deadlines, follow-ups, and ongoing projects
Assist with event planning and meeting coordination
Handle expense reports, invoices, and basic administrative tasks

Personal Assistance

Coordinate personal appointments, household scheduling, purchasing gifts
Assist with errands, reservations, and vehicle services
Manage deliveries, shipping and mail
Help organize family or household-related tasks as needed
Maintain confidential personal and business information

Office & Operations Support

Organize files, records, and digital documents
Liaise with vendors, clients, and service providers
Assist with coordination of contractors and staff
Monitor supplies and office organization
Support special projects and business initiatives

Qualifications

Proven experience as an Executive Assistant, Personal Assistant, Administrative Assistant, or similar role
Excellent organizational and time-management skills
Strong written and verbal communication abilities
High level of discretion and confidentiality
Ability to multitask and prioritize effectively
Proficiency in Microsoft Office
Professional demeanor and problem-solving mindset
Relevant experience required

Preferred Skills

Experience supporting senior executives and/or business owners
Event planning or project coordination experience is a plus
Ability to work independently and anticipate needs
Flexible availability when necessary
Fluent in English and Spanish is a plus

Work Environment

Per diem/Part-time depending on business needs
May include hybrid or in-person work

Pay: From $30.00 per hour
