Full Job Description

The Business Office Assistant is responsible for assisting the Business Office Manager with the day-to-day financial activities within the skilled nursing facility. This is including, but not limited to, daily deposits via direct bank scanner, transactions within the resident funds management account and meeting face-to-face with resident family members. It is crucial to the resident admission that all payor information is accurate. The Business Office Assistant is responsible for assisting with maintaining accurate financial data within the EMR system, to include census updates, payor changes and level of care changes.

Required Qualifications

Minimum 2 years work experience in credit/collections with Medicare, Medicaid, and Commercial billing processes.
BA/BS Degree in Finance/Accounting or a commensurate level of directly related experience, preferred.
Highly developed communication and interpersonal skills.
Successful in dealing with customers and company personnel at all levels.
High degree of integrity, including ability to successfully deal with sensitive or confidential information.
Hands on, self- starting, disciplined, and detail-oriented individual with ability to work independently in an environment that requires a work product that is highly accurate and timely.
High degree of proficiency with Microsoft Office software (Excel, MS Word).
Must be experienced in and able to demonstrate proficiency with computerized accounts receivable software applications.

Major Duties and Responsibilities

Enter census changes in PCC immediately as they occur.
Update payor set-up and level of care changes as needed. Review RFMS for accounts over $2,000 and assist resident in reducing for following all state regulations every week. Send copies of the month’s transactions to corporate AR to ensure that a cursory review is done by corporate.
Meet with new residents and resident representatives. Complete admissions paperwork as it relates to collections (72 hour meeting / Welcome Letter).
Give census numbers to Administrator every morning during the daily meeting.
Review private aging, make collection calls and document in PCC.
Medicaid pending – contact DSS for status update and document in PCC every week.
Participate as needed in educational webinars, etc. to stay informed of all areas of regulations that affect billing.
Participate in corporate meetings and be prepared to speak regarding the facility’s collection status.
Perform other duties as required by supervisor or corporate to accommodate business growth or special ad-hoc requests.

Establishes a culture of compliance by adhering to all facility policies and procedures.
Complies with standards of business conduct, and state/federal regulations and guidelines.
Follows appropriate safety and hygiene measures at all times to protect residents and themselves.
Maintains confidentiality of protected health information, including verbal, written, and electronic communications.
Reports noncompliance with policies, procedures, regulations, or breaches in confidentiality to appropriate personnel. Reports any retaliation or discrimination to HR or compliance officer.
Reports any allegations of abuse, neglect, misappropriation of property, exploitation, or mistreatment of residents to supervisor and/or administrator. Protects residents from abuse, and cooperates with all investigations.
Reports any occupational exposures to blood, body fluids, infectious materials, and/or hazardous chemicals in accordance with facility policy.
Participates in all life safety and emergency drills and trainings. Fulfills responsibilities as assigned during implementation or activation of the facility’s emergency plan.
Reports work-related injuries and illnesses immediately to supervisor.
Follows established infection control policies and procedures.
As a condition of employment, completes all assigned training and skills competency.

Meets general health requirements according to facility policy, including medical and physical exams and checking immunity status to various infectious diseases.
Ability to assist in evacuation of residents during emergency situations.
Ability to bend, stoop, kneel, crouch, perform overhead lifting and perform other common physical movements as needed for the position.
May be subject to falls, burns from equipment, and/or odors throughout the day; encounter reactions from dust, tobacco smoke, disinfectants, and other air contaminants.
Subject to exposure to infectious waste, diseases and/or conditions which include AIDS, Coronavirus, Hepatitis B, and Tuberculosis.
May be subject to hostile or emotional residents, family members, visitors or personnel.
Possesses leadership, supervisory skills and willingness to work harmoniously with and supervise other personnel.
Successfully follows oral and written instructions.
Successfully relays information concerning business office matters, residents, employees or any given subject matter.
Willing to cope with the mental and emotional stress of the position.
Communicates with medical, nursing staff, and all departments.
Accepts call-backs during emergency conditions.
Works in office and throughout the facility.
Willing to work to task completion in spite of frequent interruptions.
Works beyond 9-5pm (normal working hours). May work weekends, and holidays when necessary
