Medical Practice Administrator - Operations
Position Overview
Dermatology Specialists, Inc., a large multi-site dermatology practice, is seeking a strategic and operations-focused Medical Practice Administrator to help lead and optimize practice operations across all locations. This leadership role reports directly to the owner physicians and works closely with the Finance Manager to support organizational growth, operational excellence, and long-term scalability.
We are looking for an operations-focused leader to help modernize and optimize a growing multi-site dermatology practice. The ideal candidate is systems-oriented, analytical, and excited about improving workflows, staffing efficiency, operational accountability, and practice performance across multiple locations.
This role will focus heavily on operational improvement, implementation, KPI tracking, staffing optimization, healthcare technology integration, and process redesign. Experience with AI tools, automation, healthcare operations, multi-site management, or scaling operational systems is strongly preferred.
We are looking for someone who is adaptable, proactive, comfortable driving change, and energized by solving inefficiencies and building better systems. Dermatology or healthcare experience is valuable, but we are equally interested in candidates with strong operational leadership and implementation backgrounds from other healthcare or service industries.
Key Responsibilities
- Oversee and support regional office managers.
- Manage daily operational activities to ensure efficiency, compliance, and quality of service.
- Lead recruitment efforts for physicians and professional staff, including MDs, PAs, nurses, and lab technicians.
- Conduct annual performance evaluations and 90-day reviews for leadership staff.
- Develop, implement, and standardize office policies and procedures across all locations.
- Ensure adherence to all regulatory and compliance standards (HIPAA, CLIA, COBRA, FMLA).
- Supervise training and development programs to ensure optimal staff performance.
- Collaborate with management and staff to promote quality patient care and service excellence.
- Oversee physician schedules and clinical workflow coordination.
- Manage payroll operations and collaborate with accounting on financial reporting.
- Foster a positive, high-performance culture focused on accountability, teamwork, and service.
- Review and interpret contracts, including leases, insurance, and equipment agreements.

Qualifications
- Minimum 5 years of management experience in a medical office or healthcare setting.
- Must have experience with effectively managing multi-site operations.
- Strong understanding of human resources principles and practices, including benefit administration.
- Proven ability to lead, motivate, and hold teams accountable.
- Excellent communication, organizational, and problem-solving skills.
- Experience with policy and procedure development.
- Strong financial and accounting knowledge.
- Proficiency in Microsoft Office (Word, Excel, Outlook, etc.); EMA EMR experience preferred.
- Experience in physician relations, communication, recruiting, and direct support.
- Understanding of contract terms and conditions
