Full-time clinic manager position, Monday-Friday in a dynamic and growing behavioral health private practice with 15 therapists in Orem Utah. We provide individual, family and couples outpatient psychotherapy services and are looking for a strong leader with experience to help with daily operations as well as management of the clinic operations, scheduling, billing and staff.
This is a career opportunity for someone who is organized, has a good memory and who is good with people. The position responsibilities include reporting directly to owners and directors, managing the financial success of the clinic, making sure clients have a positive experience and are assigned to the right therapist, managing therapists schedules using SimplePractice and Google Sheets, paying attention to details and overseeing all staff in the clinic and all HR needs. This position is for someone with management and billing experience, preferrably in a mental health setting.
Preference will be given to those who have a bachelor's or masters degree in management or a related field or who have 3-5 years experience, including strong skills in typing, excel, insurance billing, client care and HR management. The ideal candidate will be able to take ownership of the position once trained, provide a loyal work ethic, collaborate with owners and directors, provide support to client and therapists in all areas that relate to a clinic including but not limited to: compassionate but clear boundary setting, conflict resolution, critical thinking and relationship building, developing a culture of positivity and a pleasant outlook on issues as they come up and the ability to pay attention to and remember details. The ideal candidate will be a smart, highly effective individual who can think through problems and manage well within a team, alone or without much supervision, setting a good example for therapists, clients and co-workers. We currently have all staff cross trained between front and back office tasks.

Job Description can include, but is not limited to:
- Adherence to HIPAA, confidentiality and professional work ethic
- Assisting new clients in selecting a therapist and creating a scheduling plan
- Gathering financial and insurance information from clients and assisting client and billing team with accounting, insurance benefits and billing to ensure appropriate payments are being rendered. (experience preferred but not required)
- Creating a welcoming environment for clients by smiling and learning clients names while explaining and reviewing documentation with clients and assisting in completing intake releases, agreements and required forms prior to seeing a clinician.
- Communicating with clients regarding missed appointments or payments and resolving concerns.
- Assisting in scheduling appointments / preparing new month calendars and pre-scheduling current clients, running financial reports, preparing deposits, entering payments.
- Managing incoming emails and mail from the billing department, insurance companies, clients and potential intakes, etc.
- Supporting clinicians in follow through with 3rd party record requests such as, subpoenas, disability applications, client communications, insurance attestations, contracts renewals, etc, including drafting letters and emails.
- Assisting in keeping the clinic in top shape both with cleanliness and organization and opening and/or closing the office daily.
- Finding your own mistakes, correcting them and creating efficiencies. Reviewing other team members' work.
- Basic trouble-shooting with technology and internet
- Assisting with business development projects delegated by practice directors, including hiring, editing, marketing, decorating, social events and policy changes and researching and learning new systems.
- Assisting to keep the office positive and happy.
Ideal Candidate Qualifications
- Academics - We prefer hiring those with a bachelor's degree or higher and excellent verbal, written, math, problem solving and logic skills.
- Technical Skills - ability to organize data in Google sheets and Excel (a must); PC functions, navigating websites, typing 60+wpm minimum, data-entry, texting, emailing, etc.,
- Attention to detail - We need immaculate record keeping and communications.
- Excellent memory - ability to memorize information and remember details. (crucial)
- Phone Skills - experience and confidence in contacting people by phone to discuss billing and scheduling.
- Social skills - A great smile and eye contact always, even on a hard day. Ability to be patient and kind while clearly communicating boundaries and policies to clients
- Relationship skills - Ability to focus on relationship building, both securing and retaining clients and healthy team building and collaboration with co-workers.
- Communication - Professionalism in grammar, written and verbal dialogue. Ability to express ideas in writing and verbally to clients, therapists, co-workers and supervisors. Ability to resolve concerns or de-escalate conflict while remaining calm and positive.
- Teachable- ability to adhere to team guidelines and company policies over personal preferences, including the maturity to receive feedback and make appropriate changes.
- Focus - ability to stay organized and work amid distractions.
- Executive functioning - ability to organize ongoing projects and move among the projects throughout the day
- Professional appearance - well-groomed; dress and appearance must professionally represent our company at all times
- Promptness - reliable transportation and ability to arrive promptly on a daily basis

- (Optional, but desired) Experience with Simple Practice, or other practice management programs, QuickBooks, Payroll, Office and Phone Management, Health Insurance, Money handling, Financial or Information management.
