JOB SUMMARY:

The Data Entry Specialist provides support services to the Training & Staff Development Department. Particular emphasis is in the areas of orientation, special projects, and distribution of ongoing training materials. Provides orientation to new staff, provides assistance to staff members with computer and independent learning modules. Prepares training materials for training events as requested by supervisor and/or presenter. Generates and disseminates the Agency Training reports and announcements as indicated.

ESSENTIAL/CORE JOB-SPECIFIC DUTIES AND RESPONSIBILITIES

1. Prepares new employee training packets, communicates with supervisor of new employee concerning completion of orientation trainings. Provides support with computer trainings.

2. Word processes/types, duplicates and distributes assigned reports, announcements, memoranda, forms, records and other training documents for assigned staff. Maintains production quality control of all produced documents by reviewing finished product for typewritten, spelling and punctuation, and grammatical errors.

3. Completes training data input timely and accurately into LMS and all other training record keeping documents. Processes Training Contact forms to include edit of each form (to ensure correct training code number, employee numbers, date, title, etc.), and filing of forms. Generates monthly training reports and distributes this information to supervisor.

4. Maintains required training files and certifications. Disseminates information as needed. Disseminates training flyers and announcements for assigned events by inter-office mail and/or e-mail as indicated.

5. Contacts employees and supervisors to remind them of scheduled trainings. Contacts trainers to confirm their attendance at scheduled training events.

OTHER JOB-SPECIFIC:

1. Follows up with new hires and their supervisor to ensure all required trainings are completed in a timely manner.

2. Orders and maintains training supplies for Training and Staff Development department to include

pencils, folders, note pads, refreshments, etc. necessary for training events.

3. Organizes and inventories training resource materials, coordinates, and monitors and gathers all signed-out training materials. Conducts semi-annual audit of contents, updates content listings as indicated, duplicates materials as directed, & responds to requests for sign-out.

4. Assists in special projects as required.

Effectively communicates and proactively identifies risks to help reduce errors and other factors that may contribute to unintended adverse outcomes.

5. Performance Appraisal: Conducts or assures completion of the formal performance appraisal process for assigned staff and programs. Maintains at least 90% compliance with on-time completion and submission to HR for assigned appraisals.

6. Attendance: Observes assigned work hours, use and scheduling of leave, and punctuality by using PowerTime. Provides notification of absences, tardiness and leave requests in accordance with the Agency’s policies and procedures. Respects length of time taken for lunch breaks and work breaks.

7. Training and Education: Maintains compliance with required training in accordance with established time frames. Seeks opportunities to increase knowledge and competencies which benefit the position, program or Agency.

8. Other duties as required: Complies with changes in duties and assignments in a positive and cooperative manner.

QUALIFICATIONS:

Education/Experience:

· Bachelor’s degree from an accredited university or college Preferred.

-Professional training or experience can substitute on a year-for-year basis for the Bachelor’s Degree.

· Proficient in Word, Excel, and Access preferred.

Licensure or Certification:

· Current valid driver’s license.

· Maintain Designated Auto Driver status.

Competency/Skills

· Ability to exercise independent judgment and determine work priorities.

· Ability to understand and apply applicable rules, regulations, policies and procedures.

· Ability to prepare business correspondence to include various typed formats for preparation of statistical and financial data and the like.

· Demonstrates office etiquette in public and telephone communications.

· Demonstration of organizational qualities.

· Ability to collect and evaluate data relating to program functions.

· Presents a competent professional image, while demonstrating good public relations skills through dealing with the public, patients, medical and hospital staff with tact and good judgment.

· Ability to communicate effectively verbally and in writing.

· Ability to organize and maintain files, records and other materials.

· Willingness to perform routine procedures with attention to detail on a continuous basis.

· Ability to learn medical and technical terms.

Knowledge

· Knowledge of procedures for securing, accumulating, processing, preserving, retrieving and controlling the distribution of records.

· Have a working knowledge of general office practices and systems for record retention and retrieval.

· Working knowledge of personal computers.
