Full Job Description

Position Summary

Arrow Glass & Mirror is looking for a highly organized and customer-focused Commercial Service Coordinator to join our team. This role is the main point of contact for our commercial service department and is responsible for managing service requests from start to finish. The ideal candidate is organized, communicates well, takes ownership of their work, and keeps projects moving to ensure excellent customer service.

Responsibilities

Serve as the primary point of contact for commercial service customers.
Answer incoming phone calls and emails professionally and promptly.
Schedule and coordinate daily work for service technicians.
Monitor technician schedules and adjust as priorities change.
Communicate with customers regarding appointments, job status, and updates.
Create and maintain work orders in QuickBooks Online (QBO).
Coordinate with internal departments to ensure materials and information are available for scheduled work.
Track service jobs from initial request through completion and invoicing.
Follow up with customers to ensure work has been completed satisfactorily.
Maintain organized and accurate job records and documentation.
Identify scheduling conflicts or delays and proactively communicate solutions.
Take ownership of the entire service process to ensure jobs are completed efficiently and customers receive outstanding service.
Enter technicians' daily timesheets into the timekeeping system, ensuring labor is accurately allocated to the appropriate service jobs.
Accurately update QuickBooks Online, in a timely manner, with service customer information, estimates and orders

Qualifications

Excellent customer service and communication skills.
Strong organizational and multitasking abilities.
Ability to prioritize work in a fast-paced environment.
Experience with QuickBooks Online (QBO) preferred.
Proficient with Microsoft Outlook, Teams, Word, and Excel.
Ability to work independently while collaborating with the team.
Detail-oriented with strong problem-solving skills.
Previous experience in construction, service coordination, dispatching, or administrative support is a plus.
Experience with Projul is a plus.
