Full Job Description

Position Summary

The Accounting Specialist is responsible for managing credit card activity, ensuring accurate reconciliation, and coordinating the allocation of utility expenses across a commercial real estate portfolio. This role plays a critical part in maintaining financial accuracy, supporting tenant billings, and maximizing recoverable costs in accordance with lease agreements.

Key Responsibilities

Credit Card Reconciliations

Reconcile credit card accounts on a monthly basis
Review transactions for accuracy, proper coding, and supporting documentation
Investigate and resolve discrepancies, duplicate charges, or unauthorized transactions
Ensure all expenses are properly recorded in the general ledger
Work with employees to obtain receipts and business-purpose documentation
Monitor compliance with company expense policies and internal controls
Assist with month-end close by ensuring timely completion of all reconciliations

Utility Billings & Recoveries

Review and process utility invoices (electric, water, gas, sewer, trash, etc.)
Allocate utility costs to tenants based on submeter readings, square footage, and lease-specific allocations
Prepare and post tenant billings in accordance with lease terms
Maintain schedules of recoverable vs. non-recoverable utility expenses
Assist with utility accruals and ensure proper expense recognition
Identify discrepancies and work with vendors and property teams to resolve billing issues

Lease Compliance & Recovery Support

Review lease agreements to determine utility recovery eligibility and billing structure
Ensure billing aligns with lease language, caps, and exclusions
Support CAM (common area maintenance) and operating expense recoveries related to utilities
Assist with annual reconciliations and tenant true-ups
Identify opportunities to improve cost recovery and reduce losses

Accounts Receivable & Accounts Payable Support

Support tenant invoicing and AR processes related to utility billings
Respond to tenant inquiries regarding utility charges and billing details
Support vendor payment and AP processes related to vendor statements and invoicing
Assist with collection efforts tied to utility and recovery charges
Organize and maintain filing support for AR and AP

Systems & Reporting

Maintain accurate coding, tenant data, and expense classifications
Prepare and analyze reconciliation reports and recovery schedules
Support monthly, quarterly, and annual financial reporting

Qualifications

Associate’s or Bachelor’s degree in Accounting, Finance, or related field
2–4+ years of accounting experience, preferably in commercial real estate or property management
Experience with account reconciliations and tenant billings
Understanding of utility allocations and expense recoveries preferred
Experience with property management systems is a plus (Yardi, Skyline, MRI)
Strong Excel skills (reconciliations, formulas, data analysis)

Job Type: Full-time

Pay: $27.00 - $30.00 per hour
