What You'll Do
As a Marketing & Purchasing Coordinator, you'll help bridge the gap between vendors, customers, purchasing, and marketing. You'll play a key role in developing our monthly product guide, coordinating vendor promotions and prebooks, supporting purchasing operations, and ensuring our customers have access to the tools they need to do business with Bright Side.
You'll work closely with the Director of Marketing & Purchasing, our Graphic Designer, vendors, customers, and internal teams to help bring products to market, maintain strong vendor relationships, and support purchasing operations.
Because Bright Side operates with a lean and efficient purchasing team, you'll also serve as an important backup resource for the Buyer when needed. Success in this role requires strong attention to detail, excellent follow-through, and the ability to manage multiple projects at the same time.
Your Day Will Include:
Marketing & Product Guide Coordination
- Assisting with the planning, coordination, and development of Bright Side's monthly product guide.
- Coordinating product information, pricing, images, promotional content, and vendor assets.
- Working closely with the Director of Marketing & Purchasing and Graphic Designer to ensure deadlines are met.
- Reviewing marketing materials for accuracy, pricing, and completeness.
- Assisting with promotional planning and vendor-supported marketing initiatives.
- Helping ensure featured products, promotions, and pricing are properly communicated internally and externally.
Vendor Relations & Prebook Management
- Managing vendor prebooks and promotional opportunities.
- Participating in vendor meetings and helping document opportunities, promotions, and action items.
- Coordinating follow-up activities with vendors and internal teams.
- Assisting with vendor communication and relationship management.
- Helping track promotions, discounts, rebates, and vendor programs.
- Supporting new product launches and vendor initiatives.
Customer Onboarding & Support
- Setting up new retail customer accounts within company systems.
- Creating and distributing login credentials for customer ordering platforms, customer portal access, and mobile applications.
- Assisting customers with account setup, portal access, and onboarding questions.
- Helping ensure customer account information is accurate and complete.
- Supporting a smooth onboarding experience for new customers.
Buyer Support & Coverage
- Assisting with day-to-day purchasing activities as directed.
- Helping maintain accurate product, vendor, and pricing information.
- Monitoring vendor communications and helping ensure timely follow-up.
- Assisting with inventory management projects and purchasing initiatives.
- Supporting inventory replenishment activities as needed.
- Providing purchasing department coverage when the Buyer is out of the office.
- Escalating inventory concerns, stock shortages, or vendor issues as appropriate.
- Helping ensure purchasing operations continue smoothly during vacations, training, or other absences.
Administrative & Special Projects
- Maintaining organized records, documentation, and vendor files.
- Assisting with cross-department projects and company initiatives.
- Supporting operational improvements and process development efforts.
- Assisting leadership with special projects as assigned.

- Monthly product guides are completed accurately and on time.

- Purchasing operations continue smoothly when the Buyer is unavailable.
- Vendor communication is timely, professional, and organized.
- Product data, pricing, and promotional information remain accurate.
- Projects stay organized and deadlines are consistently met.
- You become a trusted resource for both the Marketing and Purchasing teams.
Required Skills, Abilities, and Experience
- 1+ years of experience in marketing, purchasing, administration, customer support, or a related field preferred.
- Strong organizational and project management skills.
- Exceptional attention to detail.
- Excellent written and verbal communication skills.
- Comfortable interacting with vendors, customers, and internal teams.
- Ability to manage multiple projects and priorities simultaneously.
- Strong follow-through and problem-solving abilities.
- Proficiency with Microsoft Office and cloud-based business applications.
- Ability to quickly learn inventory, purchasing, CRM, and ordering systems.
- Positive, dependable, and team-oriented attitude.
- Experience in wholesale distribution, consumer packaged goods (CPG), retail, or related industries is a plus.
Physical Requirements
- Primarily office-based work.
- Ability to sit and work at a computer for extended periods.
- Occasional lifting of marketing materials, samples, or office supplies (up to 50 lbs).
- Occasional warehouse walkthroughs and participation in vendor meetings.
