About CPHW

The Center for Psychological Health & Wellness is one of the region's leading behavioral health practices, serving children, adolescents, adults, couples, and families across Berks County and beyond from our Shillington, PA office. Our team of psychologists and licensed clinicians specializes in anxiety and mental health treatment for children and adolescents, ADHD, depression, trauma-informed care, couples counseling, parenting support, parental alienation, custody evaluations, and reunification therapy. We work closely with families, schools, attorneys, and Pennsylvania courts.

The Role

We are looking for a part-time Front Office Coordinator to join our team in a hybrid capacity — working from our Shillington office on designated days and remotely the remainder of the time. Hours are approximately 10-15 per week.

The Front Office Coordinator is not a peripheral role at CPHW — it is central to how the practice functions. You will be the first voice many of our clients encounter, the person who manages the financial and scheduling infrastructure that supports clinical care, and a key part of how we maintain neutrality and professionalism in high-conflict cases. In a practice that works with anxious children, families navigating custody disputes, couples in conflict, and adults in crisis, the quality of that first impression — and every interaction that follows — matters enormously.

The right person is warm but composed, organized, takes privacy seriously, and is genuinely drawn to behavioral health as a field — not just looking for an administrative position.

What You Will Do

Serve as the primary point of contact for incoming calls, new client inquiries, and scheduling
Conduct new client intakes — collect demographic, insurance, and referral information
Verify insurance eligibility with Aetna, Highmark BCBS, Capital Blue Cross, and Blue Cross Blue Shield; communicate benefits to clients
Manage clinician calendars and coordinate appointment scheduling across a multi-clinician practice
Handle billing inquiries, process co-pays and payments, and maintain accurate financial records
In high-conflict and custody cases, serve as the communication hub — routing written correspondence to both parties to ensure transparency and neutrality
Keep electronic records complete, accurate, and HIPAA-compliant across our platforms (Therapy Appointment, Availity, and Office Ally)
Greet and check in clients on your in-office days
Support clinical staff with administrative tasks as the practice continues to grow

What We Require

College degree in any field; candidates without a degree must have 4+ years of directly relevant healthcare or behavioral health administrative experience to be considered
Prior experience in a medical, mental health, or healthcare office setting strongly preferred
Working knowledge of HIPAA and a genuine commitment to confidentiality
Familiarity with insurance verification; mental health billing experience a plus
Comfortable with Therapy Appointment, Availity, Office Ally, or comparable practice management systems — or confident learning quickly
Strong phone presence and written communication skills
Calm and professional with clients who may be distressed, guarded, or in conflict
Reliable home internet connection and a private, distraction-free workspace for remote days
Pennsylvania Act 34, Act 151, and Act 114 clearances required before start date
