Full Job Description

Job Summary

We are seeking a proactive and detail-oriented HOA Management Assistant to join our dynamic team. This vital role involves supporting the daily operations of homeowner associations by managing administrative tasks, ensuring compliance with regulations, and fostering positive relationships with residents and vendors. The ideal candidate will thrive in a fast-paced environment, demonstrate excellent customer service skills, and possess a desire to learn and understand association management principles. Your energy and enthusiasm will help maintain vibrant communities and streamline HOA processes.

Responsibilities

Assist with compliance and Architectural Review Committee management.
Coordinate maintenance requests, and track work orders through CMMS (Computerized Maintenance Management System), and ensure timely resolution.
Handle administrative tasks such as responding to correspondence, amenity management, etc
Provide exceptional customer service to residents, vendors, and team members via phone etiquette, email correspondence, and in-person interactions.
Maintain organized filing systems for compliance reports while performing data entry and office administrative duties
Requirements
Experience with HOA management preferred, but training provided
Proficiency with property management software Appfolio a plus
Strong organizational skills with attention to detail for data entry, filing, and record keeping.
Excellent communication skills demonstrating professional phone etiquette and customer relationship management abilities.
Ability to handle conflict professionally while maintaining a positive community environment.
Office experience involving data entry, filing systems, and general administrative support; familiarity with office tools is essential.
Demonstrated ability to upsell or promote additional services to residents or vendors when appropriate.
