Kenwood Hearing Centers Patient Care Coordinator/Office Administrator

The Kenwood Hearing Centers Patient Care Coordinator/Office Administrator is the first point of contact for patients in our practice. This position is responsible for greeting patients, answering the phones, scheduling appointments, completing administrative processing and recordkeeping, and more. Each member of our team should be prepared to perform other assignments or duties as required.

ESSENTIAL FUNCTIONS:

Creates a warm, welcoming environment for patients and visitors
Coordinates appointments and other actions such as invoice creation and payment collection utilizing office administration software
Provides patient care on phone / in person – begins building a relationship and establishing trust, and maintains that over time through things like warm greetings, remembering customers and calling them by name, etc.
Listens and responds to voicemails and emails from patients, prospects, and physicians
Optimizes customer satisfaction, provider's time, and treatment room utilization
Confirms hearing aids and ear molds are ready prior to client appointment
Communicates to potential patients the value proposition of the practice and why patients should choose our practice over other competitive alternatives
Manages payments / insurance claims and follow up for outstanding accounts
Generates communication / mailings to patients and doctors
Qualified to handle difficult situations / patients / vendors with a calm and pleasant demeanor
Orders/processes hearing aid inventory/loaners/returns/shipping/receiving
Basic hearing aid diagnostics/programming/clean/check as well as speaker replacement and Bluetooth pairing
Orders/maintains office supplies and batteries

COMPETENCIES:

Thoroughness and strong attention to detail, prioritization, and organization
Excellent customer service and communication skills, in oral and written communication, in person, on the phone, and in emails
Ability to create a very warm and friendly environment for patients and their companions – very strong people skills needed
Willingness and ability to establish and continue new relationships with the medical community
Natural empathy
Ability to handle multiple tasks, troubleshoot and problem solve
Ability to maintain confidentiality of sensitive information
Strong people skills

REQUIRED EDUCATION AND EXPERIENCE:

At least 3-5 years of experience directly related to the duties and responsibilities specified, specifically with front desk responsibilities in a customer service- and/or medically-oriented environment
Excellent communication skills and desire to develop and establish relationships with new people
Must be high school graduate or above
Excellent computer skills (Google Docs, Word, Excel, web-based software)
Ability to type at a reasonable WPM
Proven ability to work in a fast-paced environment and handle multiple tasks simultaneously
Fluency in Spanish or other languages preferred

Education:

High school or equivalent (Required)

Experience:

Customer service: 3 years (Required)
