Job Overview

We are seeking a dynamic and highly organized Administrative Assistant to join our Real Estate Investing Company! This vital role is designed for someone who thrives in a fast-paced environment, excels at multitasking, and possesses exceptional communication skills. As an integral part of our office operations, you will provide comprehensive administrative support, ensure smooth daily workflows, and enhance overall office efficiency. Your proactive attitude and technical proficiency will help create a welcoming atmosphere for clients and team members alike. This paid position offers an exciting opportunity to develop your career in office management while contributing to a vibrant organizational culture. We currently manage over 350 properties in Kansas City and are looking for someone to help provide office support in a variety of ways.

Duties

Manage front desk responsibilities including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette
Handle calendar management and scheduling for executives and team members using productivity software such as Google Workspace and Microsoft Office
Perform data entry tasks with accuracy using spreadsheets, word processing, and other office productivity tools
Maintain organized filing systems—both digital and physical—ensuring easy retrieval of documents and records
Assist with client communication, customer support, and follow-up to foster positive relationships
Support office management activities including supply inventory, filing, proofreading documents, and coordinating meetings
Utilize technical skills to operate office equipment such as printers, scanners, and teleconferencing tools efficiently

Experience

Proven clerical experience or administrative experience in an office environment demonstrating strong organizational skills
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace for document creation, spreadsheets, and email management
Familiarity with QuickBooks or similar accounting software is a plus for handling basic bookkeeping tasks
Excellent typing speed with high accuracy; strong proofreading skills to ensure error-free correspondence
Experience managing multi-line phone systems and providing exceptional customer service over the phone or in person
Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
Demonstrated ability to prioritize tasks efficiently using time management techniques in a busy setting
