Full Job Description

Program Operations Assistant

Position Summary

The Program Operations Assistant provides administrative, communications, and operational support to CASA of Santa Barbara County, with a primary focus on volunteer recruitment and community engagement activities. This position assists with outreach efforts, social media management, marketing projects, volunteer onboarding, data management, reporting, and a variety of organizational support functions that advance CASA's mission.

The Program Operations Assistant works collaboratively with the Community Engagement Coordinator and Operations Manager while reporting directly to the Executive Director. This position plays an important role in increasing community awareness, supporting volunteer recruitment efforts, maintaining accurate records, and assisting with the day-to-day operations of the organization.

The ideal candidate is highly organized, detail-oriented, creative, technologically proficient, and comfortable managing multiple priorities in a fast-paced nonprofit environment.

Essential Duties and Responsibilities:

Volunteer Recruitment and Community Engagement

Support volunteer recruitment efforts through community outreach, marketing initiatives, and public awareness activities.
Assist with planning, preparation, and staffing of volunteer recruitment events, information sessions, community presentations, and outreach activities.
Help maintain and organize outreach materials, displays, promotional items, and recruitment resources.
Support organizational efforts to increase public awareness of CASA's mission and services.

Communications and Marketing

Create, schedule, and monitor content for CASA's social media platforms.
Assist with the development of newsletters, fundraising communications, volunteer recruitment campaigns, and other organizational communications.
Design flyers, graphics, promotional materials, presentations, and event-related materials using Canva or similar design platforms.
Assist with content collection, photography coordination, story development, and community engagement initiatives while maintaining confidentiality standards.
Ensure communications materials are consistent with CASA branding and messaging.

Program and Administrative Support

Provide administrative support to program and administrative staff.
Prepare correspondence, reports, spreadsheets, and other documents as requested.
Maintain electronic and paper files in accordance with agency policies.

Data Management and Reporting

Enter, maintain, and verify data in CASA's data management systems.
Generate reports from agency databases to support program evaluation, grant reporting, volunteer recruitment efforts, and organizational planning.
Assist with tracking volunteer recruitment and engagement metrics.
Support data quality efforts and ensure information is maintained accurately and consistently.

Other Duties

Maintain strict confidentiality regarding children, families, volunteers, donors, and organizational matters.
Successfully complete all required background screening requirements.
Support CASA's mission, values, policies, and strategic goals.
Perform other duties as assigned.

Qualifications Required

Qualifications

High school diploma or equivalent; associate's degree preferred.
Two years of administrative, communications, marketing, nonprofit, customer service, or related experience.
Strong written and verbal communication skills.
Excellent organizational skills and attention to detail.
Proficiency with Microsoft Office applications, including Outlook, Word, Excel, PowerPoint, and Microsoft Teams.
Experience using Canva, Adobe Creative Suite, or similar graphic design software.
Ability to learn and utilize database systems and online platforms.
Ability to manage multiple projects and deadlines simultaneously.
Ability to work independently while collaborating effectively with staff and volunteers.
Ability to maintain confidentiality and exercise sound judgment.
Reliable transportation and ability to attend occasional evening and weekend events.

Preferred Qualifications

Experience with social media management and content creation.
Experience working in a nonprofit, educational, social services, volunteer-based, or community-focused environment.
Experience with databases, reporting systems, and data entry.
Experience supporting events, volunteer recruitment efforts, or community outreach activities.

Physical Requirements

Ability to sit, stand, walk, bend, and lift up to 25 pounds.
Ability to use standard office equipment, including computers, printers, telephones, and audiovisual equipment.
Ability to travel occasionally throughout Santa Barbara County for outreach events, meetings, and trainings.

Work Location and Schedule

This position is based in CASA's Santa Maria office and requires regular in-person attendance. Remote work is not available for this position.

Work hours are generally Monday through Friday during standard business hours. Occasional evening and weekend hours may be required to support volunteer recruitment activities, outreach events, trainings, and special events.

Background Screening

Employment is contingent upon successful completion of a criminal background check and any other screenings required by CASA of Santa Barbara County.
