Job Summary

We are seeking a dedicated and professional Receptionist to serve as the first point of contact at our community. The ideal candidate will possess excellent communication skills, a welcoming demeanor, and strong organizational abilities. As the Receptionist, you will manage front desk operations, handle multi-line phone systems, and provide exceptional customer service to residents, visitors, and staff. This role offers an opportunity to contribute to a positive community environment while supporting administrative functions vital to our operations.

Responsibilities

Greet residents, visitors, and staff warmly and professionally upon arrival.
Manage multi-line phone systems efficiently, directing calls appropriately and taking detailed messages when necessary.
Maintain a clean, organized front desk area that reflects a welcoming atmosphere.
Assist with administrative tasks such as data entry, filing, proofreading, and managing calendars.
Support office management activities including scheduling appointments and coordinating visitor access.
Provide customer support by addressing inquiries promptly and courteously.
Utilize computer skills including Microsoft Office, Google Workspace, QuickBooks, and other office software to facilitate daily operations.

Requirements

Proven experience in front desk or office management roles within healthcare or senior living environments preferred.
Strong proficiency with multi-line phone systems and excellent phone etiquette.
Bilingual abilities are highly desirable to serve diverse community members effectively.
Demonstrated clerical experience with data entry, filing, proofreading, and calendar management.
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel), Google Workspace applications, QuickBooks, and general office software.
Exceptional organizational skills with the ability to prioritize tasks efficiently.
Previous customer service experience with a focus on providing support in busy environments.
Knowledge of office management procedures along with strong time management skills.
Personal assistant or administrative experience is advantageous; familiarity with bookkeeping is a plus.
