Full Job Description

Position Summary

The Bookkeeper / Administrative Assistant plays a vital dual role at Umbra Solace, supporting both the financial integrity of the organization and the day-to-day administrative functions of the office. This mid-level position requires a self-starter who is equally comfortable reconciling accounts in QuickBooks Online and managing scheduling, correspondence, and office operations. The ideal candidate brings a strong work ethic, excellent organizational skills, and the ability to shift priorities in a fast-paced distribution environment.

Key Responsibilities

Bookkeeping & Accounting (including, but not limited to)

Manage full-cycle accounts payable and accounts receivable, including invoice entry, coding, and payment processing
Assist with account reconciliation
Assist with month-end and year-end close procedures, including journal entries and financial reporting
Monitor cash flow, flag discrepancies, and escalate issues to management as needed
Maintain organized and up-to-date vendor and customer records

Administrative Support (including, but not limited to)

Serve as the first point of contact for office inquiries — manage phones, email, and visitor reception
Provide calendar management and scheduling support for leadership
Order and manage supplies, vendor relationships, and facilities needs
Maintain organized digital and physical filing systems for financial and operational records
Support special projects and ad hoc tasks as directed by leadership

Required Qualifications

3+ years of bookkeeping experience. 2+ years of administrative assistant experience. Preferably in a manufacturing, distribution, or similar industry. Experience can be concurrent.
Proficiency in QuickBooks Online (required)
Strong working knowledge of Microsoft Office Suite (Outlook, Word, Excel)
Solid understanding of basic accounting principles (AR, AP, reconciliations, GL)
Exceptional attention to detail with the ability to maintain accuracy under deadline pressure
Strong written and verbal communication skills
Ability to handle confidential financial and personnel information with discretion
Highly organized with the ability to manage multiple priorities simultaneously
High school diploma or GED required; Associate's degree in Accounting, Business, or related field preferred

Preferred Qualifications

Experience with payroll processing
Experience with SOS Inventory and HubSpot (preferred)
Familiarity with inventory or ERP systems common in manufacturing/distribution environments
Experience supporting a Controller or CFO in a small-to-mid-size company
