Full Job Description

My client, a growing automotive dealership, is looking for an internal admin to join their team.

They are 5 days a week on site in Duluth.

This will be a two month contract with the potential to go longer.

The Internal Service Department Administrator provides administrative and operational support to the dealership’s Service & Repair Department. This position is responsible for maintaining accurate records, coordinating internal service work, assisting with repair orders, and ensuring the department has the information and documentation needed to keep vehicles moving efficiently through the service process.

The ideal candidate is highly organized, detail-oriented, comfortable working in a fast-paced dealership environment, and able to communicate effectively with service advisors, technicians, parts personnel, managers, and other internal departments.

Key Responsibilities

Provide daily administrative support to the Service & Repair Department.
Create, update, and maintain repair orders and service-related documentation.
Enter and maintain accurate vehicle, customer, warranty, and repair information in the dealership management system.
Assist with processing internal repair orders for dealership-owned and company vehicles.
Coordinate service work for inventory, used vehicles, loaner vehicles, demonstrators, and company vehicles.
Track vehicles throughout the repair process and follow up with technicians and service advisors regarding status and completion.
Assist with obtaining and tracking repair estimates, parts information, and invoices.
Review repair orders for accuracy and completeness before closing.
Assist with warranty, internal, and customer-pay documentation as needed.
Communicate with the Parts Department regarding parts availability and backorders.
Help coordinate vehicle movement between Service, Parts, Sales, and other dealership departments.
Maintain organized files and records related to service and repair activity.
Assist with scheduling and coordinating internal service appointments.
Prepare reports and spreadsheets related to service activity, repair costs, vehicle status, and departmental needs.
Follow up on outstanding repair orders and ensure necessary documentation is completed.
Assist the Service Manager and Service Advisors with various administrative tasks and special projects.
Maintain confidentiality of customer, employee, and dealership information.
Provide professional and helpful communication with all internal departments.

Qualifications

1+ years of administrative, automotive, dealership, service department, or related experience preferred.
Automotive dealership experience is a plus, but not required.
Strong attention to detail and organizational skills.
Comfortable working with computers, Microsoft Office, Excel, and dealership management systems.
Ability to manage multiple priorities in a fast-paced environment.
Strong written and verbal communication skills.
Ability to work effectively with technicians, service advisors, managers, and other dealership employees.
Dependable, proactive, and willing to jump in wherever needed.
Ability to maintain accurate records and meet deadlines.

Pay: $20.00 - $22.00 per hour
