We support organizations across Education, Government, Healthcare, Religious, Retail, and Public sectors, helping them protect lives through innovative safety technology. We are seeking a highly organized and detail-oriented Project Coordinator who thrives in a fast-paced, technical environment and is passionate about delivering exceptional client experiences.

Position Summary

The Project Coordinator plays a critical role in ensuring projects are delivered on time, within scope, and with the highest level of quality. This position is responsible for maintaining project documentation, tracking milestones and deliverables, coordinating communication, and supporting light solution design to ensure our products meet client needs. You will work closely with internal teams, business partners, and clients to manage multiple concurrent projects while maintaining accurate documentation, dashboards, and reporting tools. This is a full-time on-site position located in Wall Township. Final position, title, and salary details will be based on selected candidate’s experience, education, and qualifications.

Key Responsibilities

Project Documentation & Tracking

Create, maintain, and update project documentation such as plans, schedules and reports.
Track project milestones, deliverables, risks, issues, actions, and decisions throughout the project lifecycle.
Ensure projects follow standardized RAG (Red/Amber/Green) status reporting.

Project Coordination & Communication

Coordinate project meetings, prepare agendas, and capture meeting minutes.
Communicate clear and timely project status updates to stakeholders at least weekly.
Act as a central point of communication between clients, internal teams, and partners.

Project Tools & Dashboards

Maintain and update project dashboards and workflows in Monday.com.
Onboard clients into the 911inform Portal and manage client shared directories.
Ensure project data is accurate, current, and easily accessible.

Resource Planning & Procurement Support

Support resource planning by identifying required assets, personnel, and dependencies.
Assist with procurement processes to ensure all materials and resources are available to meet project timelines.

Scope & Change Management

Review contracted scope of work and align project execution with billable milestones and deliverables.
Track client requests and identify potential scope changes or change orders for internal review and approval.

Solution Design Support

Perform basic solution design and configuration planning to ensure the 911inform product aligns with client requirements and use cases.
Collaborate with technical teams to validate that solutions meet both functional and compliance needs.

Project Closure

Coordinate User Acceptance Testing (UAT), project closeout documentation, and handoff to 2nd Day Support.
Ensure clients receive appropriate training materials and documentation.

Qualifications

Required

Excellent written and verbal communication skills.
Strong organizational skills with exceptional attention to detail.
Proficiency in Microsoft Office (Word, Excel, PowerPoint).
Ability to manage 6-8 technical projects simultaneously.
Strong follow-up and time-management skills.
Professional and polished communication style.
Self-motivated, reliable, and punctual.
