Location: Burbank, CA
Work Arrangement: Initial work on-site in Burbank; ongoing bookkeeping may be performed remotely
Position Type: Part-Time / Contract with potential for ongoing engagement

About the Company

We are a Burbank-based production company that has been producing a large-scale audio book/audio media project over the past two years. We are seeking an experienced, highly organized bookkeeper with strong QuickBooks expertise to initially rebuild and clean up our accounting records and then potentially manage our ongoing bookkeeping.

Initial Project – QuickBooks Rebuild & Cleanup

Our immediate priority is to reorganize and rebuild the company's QuickBooks accounting records.

The previous bookkeeping was not consistently categorized or organized according to the company's established budget, cost categories, and Chart of Accounts. As a result, we need an experienced bookkeeper who is comfortable reviewing a significant volume of historical transactions and bringing the books into a clean, organized, and auditable structure.

The company has hundreds of transactions that can be reconciled and/or imported from:

Company bank accounts
Credit card accounts
Bill.com vendor payments
ACH and wire transactions
Contractor and talent payments
Production-related expenses
Other historical accounting records and supporting documentation

The successful candidate will work with management to understand the company's established production budget and Chart of Accounts and then properly classify historical transactions accordingly.

Responsibilities

Review the existing QuickBooks company file and identify bookkeeping and categorization issues
Rebuild, reorganize, and clean up historical QuickBooks records
Review and refine the Chart of Accounts where appropriate
Categorize transactions according to the company's approved production budget and accounting structure
Import and reconcile transactions from bank and credit card accounts
Review and reconcile payments made through Bill.com
Identify duplicate, missing, incorrectly categorized, or unexplained transactions
Properly categorize production expenses, contractors, professional services, equipment, travel, talent, marketing, administrative expenses, and other costs
Reconcile bank, credit card, and Bill.com activity
Assist management in identifying transactions requiring additional documentation or explanation
Produce accurate Profit & Loss, Balance Sheet, and transaction-detail reports
Establish a clean bookkeeping process that can be maintained going forward
Maintain ongoing monthly bookkeeping after the cleanup project, if mutually agreed

Qualifications

We are looking for someone with significant hands-on QuickBooks experience, not simply general accounting knowledge.

Ideal candidates will have:

5+ years of bookkeeping and/or accounting experience
Advanced proficiency with QuickBooks Online and/or QuickBooks Desktop
Demonstrated experience performing QuickBooks cleanup, catch-up bookkeeping, or accounting rebuild projects
Strong understanding of Chart of Accounts structures
Experience reconciling large volumes of historical transactions
Experience working with Bill.com
Strong bank and credit card reconciliation skills
Ability to trace transactions across multiple accounting and payment systems
Excellent attention to detail
Ability to identify inconsistencies rather than simply accepting previous bookkeeping entries
Ability to communicate clearly with management regarding missing information or accounting issues
Strong organizational skills and ability to work independently

Experience with film, television, audio, entertainment, media production, project-based accounting, or production budgets is highly desirable.

Experience working with contractor payments, 1099 vendors, talent payments, loan-out companies, and production-related expenditures is also a plus.

Work Arrangement

Because the initial project requires working closely with management and reviewing several years of company records, the first phase of the engagement will be performed primarily in our Burbank, California office.

Once the historical accounting has been rebuilt and appropriate procedures have been established, the ongoing bookkeeping work can potentially be performed remotely.

What Success Looks Like

At the completion of the initial project, we expect to have:

A clean and organized QuickBooks file
Historical transactions properly categorized
Bank, credit card, and Bill.com accounts reconciled
Expenses aligned with the company's established Chart of Accounts and production budget
Unresolved or questionable transactions clearly identified
Accurate financial reports management can rely upon
A repeatable bookkeeping process for future transactions
