Full Job Description

JOB TITLE AND HOURS

School Administrator
Starting April 2026 (if possible)
Full-time (typically 8:00 AM–5:00 PM), year-round; schedule aligned with the academic calendar and summer programming. Occasional evenings/weekends for school events. Flexible holiday scheduling within the school’s PTO policy, with accommodations for professional & personal needs to support a healthy work–life balance.

OVERVIEW
Aya Montessori is seeking a service-minded, highly organized School Administrator to join our Columbia team. This visible, professional role serves as the school’s operational hub and primary family contact: managing admissions and student records, overseeing billing and finance touchpoints, leading school tours and admissions information sessions, providing basic technology support for staff and families, and coordinating logistics for field trips, school events, and daily office operations. The Administrator represents Aya’s Montessori mission to prospective families and works with the Head of School to ensure admissions messaging, tours, and communications reflect Montessori pedagogy and the school’s faith-based values.

RESPONSIBILITIES

Admissions & Family Experience

Serve as the school’s first administrative contact for prospective families; schedule and lead school tours and information sessions, and coordinate school visits/observations for new students as part of admissions/placement.
Manage the admissions pipeline: track applications, re-enrollments, deadlines, waitlists, placement interviews, and transfer requests.
Coordinate transitions and onboarding with Guides (teacher interviews, placement meetings, and transition plans) and maintain accurate meeting notes to support re-enrollment and placement decisions.
Maintain and update student records, manage record releases/transfer requests, and ensure compliance with documentation requirements while protecting student confidentiality.

Communications & Billing

Serve as the primary point of contact for families, community members, and the public: answer and triage phone calls and emails, log inquiries, and escalate or route issues to Guides, the Head of School, or other staff as appropriate.
Manage tuition and registration billing: generate invoices, process registration fees and payments, reconcile accounts, and coordinate payment plan sign-offs and billing questions in partnership with the Business Director. Maintain confidential financial records and follow up on outstanding balances per policy.
Produce and distribute school communications: prepare email newsletters and event announcements, coordinate content for the monthly parent newsletter, and ensure messaging is clear and aligned with school leadership.
Maintain and publish the school calendar and family-facing communications: update events, holidays, closures, and policy notices; publish announcements via email and website; and manage RSVPs and event logistics.

School Community Support

Provide basic technology assistance for staff (Google Workspace, BrightWheel, Transparent Classroom, and other platforms); troubleshoot common issues and coordinate with vendors as needed.
Coordinate logistics for school events and field trips: permissions, transportation, risk/ratio planning, volunteer coordination, event setup, and calendar management.
Administer the annual MAP assessment for Upper Elementary (elementary years 3–6) each spring, coordinating schedules, technology, and reporting with Guides and the Head of School.
Manage daily attendance and record tardies in the student information system, ensuring records are accurate, timely, and available for reporting and licensing purposes.

REQUIRMENTS

Minimum: Bachelor’s degree.
Experience: 3+ years office/administrative experience, preferably in a school, childcare, or non-profit education setting.
Training/Certifications: AMI Administrator Certificate or Montessori Diploma at any level (candidates may complete the certificate during the first months of employment). OCC 90-hour training at any level preferred.
Cultural & faith-community competence: Demonstrate deep respect for Aya’s faith-based mission and Islamic identity; ensure family-facing communications, event coordination, and responses to inquiries are culturally sensitive, honor religious practices and community expectations, and reflect the school’s values.
Strong interpersonal and written communication skills; warm, professional phone/email manner.
Highly organized, detail-oriented, able to manage multiple workflows and deadlines.
Comfortable supporting basic technology and school platforms.
Demonstrated discretion in handling confidential student and employee information.
