Full Job Description

Clinic Guest Coordinator

Position Overview

In the front-desk role, the individual will greet patients and visitors, schedule appointments, collect required paperwork and insurance information, and ensure patients are checked in efficiently for their visits. The ideal candidate will demonstrate a friendly, professional demeanor, strong attention to detail, and the ability to work efficiently, ensuring a seamless and welcoming experience for patients from arrival through completion of their visit.

Qualifications

· High school diploma or higher required

· 1+ years of work experience in medical office setting strongly preferred

· Excellent communication skills, attention to detail and friendly demeanor required

Essential Job Functions

· Promptly greets patients and office guests in a positive and helpful manner

· Verifies forms, updates patient demographic information, and enters medical insurance

· Provides necessary forms to patients for completion and signatures, will also review and verify forms for accuracy

· Promptly answers multi-line telephone calls

· Schedules patient appointments and revises patient schedules due to cancellations and changes to therapists schedules and to ensure optimal scheduling for clinic to achieve Quality Index Minimal Productivity Standards (QIMPS)

· Collects copayments, outstanding balances, or self-pay deposits and issues appropriate receipts

· Oversees the reception area and assures the area is neat and tidy

· Maintains the office supplies and necessary forms; notifies the appropriate staff when supplies or forms are required in order to facilitate smooth operations

· Maintains patient accounts by obtaining, recording, and updating personal financial information; verify patient insurance benefits; and obtaining prior authorization for treatment as needed

· Type and word-process various documents and electronic information; create statistical tools and reports using spreadsheets, TrackVia, etc.; manage, organize and update relevant data using database applications; and analyze and interpret statistics from other data produced reports

· Cooperates with all staff to achieve /goals and to maintain good employee relations, interdepartmental relations and public relations

· Ability to multi-task and be self-directed

· Ability to be flexible and adapt to changing needs within the clinic

· Excellent verbal and written communication skills

· Computer skills including keyboard, use of Microsoft Word, Outlook, EMR, and other computer programs necessary for clinic management

· Maintains detailed knowledge of practice management and other computer software as it relates to job functions

· Maintains patient confidentiality; complies with HIPAA and compliance guidelines established by the practice

· Participates in professional development activities and maintains professional affiliations

· Attends monthly meetings as assigned and offers discussion at the meeting by voicing ideas and concerns

· Performs all other tasks and projects assigned by the Clinic Administrator or Therapy Director

Physical Requirements

· Sit/stand and/or walk 4 – 8 hours daily

· Occasionally lift up to 50 pounds

· Frequent carry, push, pull, bend, crouch and/or squat

· Frequent grasping, fine motor manipulation

· Hand-eye coordination and manual dexterity sufficient to operate keyboard, photocopier, telephone, calculator and other office equipment as required
