SALES ADMINISTRATIVE ASSISTANT

Join Our Dynamic Technology Sales Team

Are you an organized, detail-oriented individual with a passion for supporting high-performing sales teams? We are seeking a dedicated Sales Administrative Assistant to join our growing organization.

About Our Company
We are a design/build and support services technology firm supporting the network, infrastructure and desktop service needs of clients in the SMB space across a wide variety of vertical markets. Since 1987, we have delivered consulting and engineering services across the tri-state region.

Position Overview
The Sales Administrative Assistant will provide essential support in managing customer accounts, processing transactions, preparing sales reports, and handling daily administrative duties. This role requires excellent communication skills, a keen eye for detail, and a proactive approach to problem-solving. The Sales Administrative Assistant will interface with clients, sales representatives, and other internal departments.

Key Responsibilities
· Process sales orders accurately and efficiently, ensuring timely entry into the company’s systems and fulfillment of customer requirements.
· Support in the preparation of sales quotations in accordance with company policies and procedures.
· Generate and track, regular and ad-hoc reports, and other internal systems, to support engineering department efforts related to sales.
· Maintain and update our internal databases, ensuring transactions are input accurately and timely, and historical information is curated.
Monitor inventory levels and coordinate with logistics and supply chain teams to ensure timely processing for service delivery.
· Respond to customer inquiries, in coordination with sales team. regarding product availability, pricing, order status, and delivery timelines, providing exceptional customer service at every touchpoint.
· Assist in the preparation and execution of sales presentations, product demonstrations, and promotional activities.
· Identify opportunities for process improvements and suggest solutions to streamline sales administration workflows.
· Handle confidential information with integrity and professionalism at all times.

Qualifications
· Bachelor’s degree in business administration, marketing, or a related field preferred.
· Relevant work experience may substitute for education requirements.
· Minimum of 2 years’ experience in a sales administration or customer service role, preferably within a fast-paced commercial sales and service environment.
· Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); Sage/Peachtree experience is preferred but not required.
· Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
· Excellent written and verbal communication skills, with a customer-oriented approach.
· Demonstrated attention to detail and high degree of accuracy in data entry and reporting.
· Ability to work independently as well as part of a collaborative team environment.
· Adaptability and willingness to learn new systems and processes.
· Discretion when handling sensitive or confidential information.
· Positive attitude, self-motivated, and a problem-solving mindset.
