Job description

Recognized as the premier electrical training school in the nation, the Net Zero Plus Electrical Training Institute (“ETI”) in Commerce, California is a partnership of the International Brotherhood of Electrical Workers Local 11 and the Los Angeles Chapter of the National Electrical Contractors Association. Each year, we train more than 4,000 electrical workers and contractors at our state-of-the-art electrical training center in order to prepare them for challenging and rewarding careers in the electrical construction industry.

Position Summary

The Executive Clerk reports to the Chief of Staff and works directly under their supervision. The Executive Clerk performs a variety of administrative tasks and provides professional support to the Executive Support department. The Executive Clerk must enjoy working as part of a team in a busy environment. The ideal candidate will need to have a strong eye for detail, and will have strong written and verbal communication, as well as administrative and organizational skills. The Executive Clerk must be able to multi-task, prioritize, and adapt to the changing needs of the department.

We are looking for an experienced administrative professional that can anticipate the needs of the department and leverage organizational and record-keeping tools to contribute to the effective and efficient operation of the department. The Executive Clerk should perform their duties with a high level of professionalism and in a manner that reflects positively on the ETI.

This position is a full-time hourly position with the work to be performed in our Commerce, California office. Remote work is not available. Office hours are Monday – Friday, 7:30 am – 4:30 pm, however, some overtime may be required. Must be punctual, reliable, and dependable. This position will include full benefits after a probationary period.

Job Duties

· Perform admin duties such as delivering mail, answering phones, scanning, and filing.

· Supports department operations by maintaining files, tracking sheets, contact information, organization records, and shared administrative resources.

· Ensures timely follow-up on messages, assigned tasks, and special projects.

· Maintains supplies inventory by checking stock to determine inventory level; anticipating needed supplies; preparing orders for supplies; verifying receipt of supplies.

· Assist with scheduling of meetings and events, and prepare meeting assets such as agendas, reports, and other documents as needed.

· Screen incoming telephone calls for Executives; take and deliver accurate messages; respond to various requests by gathering and providing information and referring non-routine calls to the appropriate personnel.

· Assist the Executive Assistant with the Executive’s contacts, calendars, emails, travel arrangements, and written communications.

· Conserve the Executives’ time by reading, researching, collecting, and analyzing information as needed, in advance.

· Other administrative duties as assigned by the Executive Assistant or Chief of Staff.

Education and Experience

· Proven experience in an office environment or administrative support position

· Experience in fast-paced environment, with proven ability to meet deadlines

Knowledge, Skills & Abilities

· Excellent verbal and written communication skills, with the ability to interact professionally with Executives, employees, external stakeholders, vendors, and visitors

· Ability to represent the department in a friendly, polished, and service-oriented manner by phone, email, in person, and through virtual collaboration tools

· Ability to represent the ETI and the Executives in a positive light through great follow-through skills and sound judgement

· Ability to navigate sensitive matters with a high level of confidentiality and discretion, especially issues directly impacting the operations of the ETI, as well as regulatory and legal issues

· Ability to demonstrate a clear understanding of organizational structure, authority, and reporting relationships; appropriately follow the chain of command and exercise sound discretion in determining matters requiring direction, consultation, or escalation

· Excellent organizational skills, with ability to multi-task

· Ability to take direction and perform duties timely and accurately

· Broad knowledge of various office management systems and procedures

· Proficiency in MS Office (MS Word, MS Excel, and MS PowerPoint, in particular)

· Excellent time management skills and the ability to prioritize work

· Excellent analytical and critical thinking skills

· Commitment to excellence – performing duties at the highest level possible on a consistent basis

· Ability to solve problems and make informed decisions

· Ability to work independently as well as within a team setting

· Attention to detail, but also the ability to see the implications for the bigger picture

· Excellent customer service and phone etiquette

· Ability to lift and/or carry up to 20 lbs. unassisted
