The Staff Accountant supports the Controller in providing accurate, timely, and meaningful financial information to organizational leadership, the Board of Directors, donors, grantors, and other stakeholders to support IndyHumane's mission and strategic objectives.
This position is responsible for recording and reconciling financial transactions, supporting grant tracking and compliance, assisting with audits and tax filings, and ensuring the integrity of financial data and reporting. The Staff Accountant works collaboratively across departments to maintain accurate financial records and support sound financial decision-making.
The position operates in a fast-paced environment with changing priorities, multiple deadlines, and a strong emphasis on accuracy, responsiveness, and customer service.
Essential Job Functions
Financial Transactions & Accounting Operations
- Assist the Controller in ensuring financial transactions are recorded accurately and timely
- Monitor source systems and financial activity to ensure completeness and accuracy of financial records
- Prepare journal entries and supporting documentation
- Perform account reconciliations and resolve discrepancies as needed
- Assist with monthly, quarterly, and annual close processes
- Maintain organized financial records and supporting documentation
- Ensure compliance with internal controls and accounting procedures
Accounts Payable & Cash Management
- Serve as backup support for accounts payable processing functions
- Review invoices, reimbursements, and expenditures for proper approval and coding
- Assist in ensuring expenditures are appropriately allocated to grants and funding sources when applicable
- Process and reconcile organizational credit card activity
- Prepare and process cash deposits
- Assist in monitoring cash activity and balances
Financial Reporting & Analysis
- Support the Controller in preparing financial statements, management reports, and audit documentation
- Assist with balance sheet reconciliations and supporting schedules
- Participate in financial analysis projects and special reporting initiatives
- Assist with budget tracking and variance analysis as assigned
- Provide financial information and support to departments as needed
Grants, Compliance & Audit Support
- Assist with tracking grant expenditures and ensuring compliance with grant requirements
- Support preparation of documentation related to audits and financial reviews
- Assist in gathering information required for tax filings, regulatory reporting, and compliance requirements
- Maintain financial documentation and audit trails to support organizational reporting requirements
- Support the preparation of information for external auditors and third-party service providers
Collaboration & Organizational Support
- Collaborate with departments to provide financial information and support decision-making
- Respond to internal financial inquiries in a timely and professional manner
- Work collaboratively to support departmental and organizational goals
- Develop familiarity with organizational systems and software platforms used throughout IndyHumane
- Perform additional duties, projects, and assignments as needed
Required Qualifications
Education & Experience
- Associate degree in Accounting, Finance, Business Administration, or related field preferred; equivalent experience may be considered
- Minimum one (1) year of accounting experience preferred
- Nonprofit accounting experience preferred
- Experience with ERP or accounting software systems preferred

Technical Skills
- Proficiency with Microsoft Office applications including Excel, Word, Outlook, and PowerPoint
- Strong Microsoft Excel skills required
- Experience with accounting software and ERP systems preferred
- Experience with Sage Intacct or similar accounting systems preferred
- Ability to learn and effectively utilize organizational software systems including accounting and operational platforms
- Familiarity with systems such as Sage Intacct, Clinic HQ, ShelterLuv, and Wave preferred
Preferred Qualifications
- Bachelor's degree in Accounting, Finance, or related field
- Two (2) or more years of accounting experience
- Nonprofit accounting experience
- Experience with grant accounting and restricted fund tracking
- Experience supporting audits and regulatory reporting
- Experience with nonprofit financial statements and reporting requirements
Physical Requirements
- Ability to sit, stand, walk, bend, and move throughout the workday
- Ability to occasionally lift and carry files, office materials, and deposits up to 25 pounds
- Ability to use computers and office equipment for extended periods
- Ability to travel locally for banking or business-related purposes if needed

This position operates primarily in a professional office and animal welfare environment with regular interaction with staff, volunteers, donors, vendors, and community members.
