ABOUT LULU DESIGNS
Lulu Designs is an independent fine-jewelry studio and boutique located in the historic Mill Valley Lumber Yard. Our flagship gallery features fine jewelry and thoughtfully curated artisan gifts, while our working studio specializes in custom design, signature Lulu collections, jewelry production and repairs.
We have an established clientele and work closely with our customers on meaningful jewelry purchases, custom projects, heirloom redesigns and repairs. Our small team of jewelers, designers and creatives works collaboratively in a warm, fast-paced environment.
THE POSITION
We are seeking a highly capable and versatile Fine Jewelry Sales & Studio Operations Lead who can contribute across client service, sales, project coordination, store operations and digital organization.
The ideal candidate is an experienced generalist: someone who is comfortable working with clients, technology, detailed records, valuable merchandise and a creative team. This person should be able to shift between priorities, learn new systems quickly and take ownership of projects from initial intake through completion.
This is not a traditional retail position. In addition to selling jewelry and building client relationships, this person will help coordinate custom projects, special orders and repairs; maintain accurate records; support inventory and merchandising; organize digital assets; and make sure that important communication, approvals and deadlines do not fall through the cracks.
A background in fine jewelry, jewelry production or hands-on jewelry making would be a significant advantage, but it is not required. We are open to candidates from luxury retail, design, hospitality, creative production or other detail-oriented environments who demonstrate strong judgment, initiative, technical aptitude and a genuine interest in jewelry.
SALES AND CLIENT SERVICE
- Provide warm, knowledgeable and highly personalized service
- Meet individual and store sales goals
- Develop lasting client relationships through thoughtful follow-up and outreach
- Guide clients through fine-jewelry, bridal, custom-design and repair inquiries
- Learn and communicate the materials, craftsmanship and stories behind our jewelry
- Respond professionally to clients in person, by telephone and through email
- Assist with client intake, estimates, approvals, payments and follow-up
- Maintain a welcoming, polished and service-oriented store environment
CUSTOM PROJECTS, REPAIRS AND WORKFLOW
- Track custom projects, special orders and repairs from intake through completion
- Maintain accurate client notes, photographs, estimates, payments and project records
- Communicate project status, outstanding questions and next steps to clients and team members
- Monitor deadlines and proactively follow up on incomplete or delayed tasks
- Use project-management tools to organize workflows and keep work moving
- Coordinate with jewelers, designers and outside vendors
- Identify missing information and resolve problems before they delay a project
- Handle valuable merchandise, gemstones and client-owned jewelry with exceptional care
- Take ownership of assigned projects and carry them through to completion
STORE AND INVENTORY OPERATIONS
- Support opening, closing and daily store procedures
- Use Shopify POS and other computer-based systems accurately
- Assist with inventory receiving, product entry, transfers, replenishment and counts
- Maintain accurate product, inventory and customer information
- Support merchandising, displays, packaging and overall store presentation
- Identify operational problems and help develop practical solutions
- Maintain an orderly and efficient sales floor, office and studio
- Take on increasing leadership responsibilities as knowledge and experience grow
DIGITAL ASSET AND FILE MANAGEMENT
Professional photo retouching will generally be outsourced, but this position will help coordinate the process by:
- Renaming jewelry and lifestyle images according to established product, SKU and project conventions
- Matching images to the correct products, collections, custom projects and client records
- Organizing source files, approved images and web-ready assets into clearly labeled folders
- Preparing complete asset packages for outside retouchers, web developers and marketing contractors
- Providing contractors with the correct files, references and instructions
- Tracking which assets have been submitted, edited, reviewed, approved and delivered
- Identifying missing, duplicate or incorrectly matched files
- Confirming that completed assets are returned in the correct formats and folders
- Maintaining an organized digital asset library
- Ensuring that completed projects and assets reach the appropriate team member or outside contractor
Advanced photo retouching is not required. Strong organization, attention to detail and the ability to manage files and communicate reliably with contractors are more important.
JEWELRY AND CREATIVE SKILLS
Jewelry-making or bench experience is not required, but it would be a valuable addition to the role. Depending on a candidate’s demonstrated skills, opportunities may include:
- Assisting with jewelry production, assembly or finishing
- Soldering, forging, wire wrapping, beading or basic fabrication
- Preparing repairs or custom projects for our jewelers
- Organizing findings, castings, gemstones and production materials
- Inspecting completed jewelry for quality and accuracy
- Photographing jewelry for project documentation, inventory or client communication
- Supporting visual merchandising and other creative projects
Candidates with jewelry-making experience are encouraged to include portfolio examples and describe the techniques they know best.
TECHNOLOGY AND ORGANIZATION
We are a technology-forward creative business. The successful candidate should be comfortable learning and using:
- Shopify POS
- Google Workspace and Google Drive
- Slack and ClickUp
- Spreadsheets, shared databases and inventory systems
- Customer and project-management platforms
- AI tools such as Claude and ChatGPT
AI tools may be used to improve organization, communication and efficiency, but all information must be reviewed for accuracy.
QUALIFICATIONS
- Two or more years of successful experience in retail sales, fine jewelry, luxury hospitality, client service, studio operations, creative production or a related field
- Proven ability to provide excellent service and build lasting client relationships
- Excellent organization, project-management ability and attention to detail
- Strong computer and digital file-management skills
- Ability to learn unfamiliar systems and workflows quickly
- Strong written and verbal communication
- Ability to manage multiple priorities without losing track of details or deadlines
- Initiative and the ability to identify what needs to be done without repeated direction
- Reliability, discretion, sound judgment and excellent follow-through
- A strong visual sense and genuine interest in jewelry, design and craftsmanship
- Ability to work independently and collaboratively within a small team
- Jewelry knowledge, jewelry-making experience or bench skills are highly desirable but not required
- Photography, content, inventory or ecommerce experience is a plus
- Ability to provide professional references from previous supervisors
- Weekend availability
SCHEDULE, COMPENSATION AND GROWTH
This is an in-person position at our Mill Valley studio and boutique. Remote work is not available, and reliable transportation and consistent attendance are essential.
The schedule will be three to five days per week, depending on the candidate’s experience and availability. We are open to both part-time and full-time applicants. Weekend availability is required.
Compensation is $25–$34 per hour, based on directly relevant experience and demonstrated skills. Please apply only if this compensation range and the commute to Mill Valley are workable for you.
The position begins with comprehensive training and an introductory period. As the successful candidate demonstrates strong sales, reliability, sound judgment, mastery of our systems and the ability to support the team, there will be opportunities to assume greater leadership and management responsibility.
