CHURCH SECRETARY / PARISH ADMINISTRATIVE ASSISTANT (PART-TIME)

Compensation: Competitive and commensurate with experience

POSITION OVERVIEW

St. David Armenian Church is seeking a dependable, organized, and professional Church Secretary / Parish Administrative Assistant to support the daily administrative operations of the parish office. As the first point of contact for parishioners, visitors, clergy, and community members, this individual will provide a welcoming presence while ensuring efficient office operations and supporting the mission and ministry of the Church.

The ideal candidate will possess strong organizational and communication skills, maintain strict confidentiality, and demonstrate professionalism, initiative, and a service-oriented attitude.

SCHEDULE

Part-time position averaging 20–25 hours per week.

Office hours are generally Monday through Friday between 9:00 a.m. and 5:00 p.m. The specific work schedule will be determined based on parish needs and the selected candidate's availability. Occasional flexibility may be required for special parish events and programs. Sunday Morning during service would be greatly appreciated.

KEY RESPONSIBILITIES

Front Office & Communication

Serve as the primary point of contact for parishioners, visitors, and community members.
Greet visitors warmly and professionally and direct inquiries appropriately.
Answer, screen, and direct incoming telephone calls; take and distribute accurate messages.
Respond to inquiries in person, by phone, and via email in a timely and professional manner.
Prepare church correspondence, weekly bulletins, newsletters, announcements, and parish communications.
Proofread communications and publications prior to distribution.

Administrative Support

Perform general administrative duties including filing, photocopying, scanning, and document management.
Maintain organized office procedures, filing systems, calendars, and parish records.
Manage clergy, parish, and facility calendars using Microsoft Outlook, Google Calendar, and other scheduling tools.
Schedule appointments, coordinate meetings, and assist with travel arrangements when needed.
Support the Pastor, Parish Council, church organizations, and volunteers with administrative and organizational needs.
Coordinate office activities and assist with parish programs, ministries, and special events.

Parish Records & Confidential Information

Maintain membership records, sacramental records, parish databases, archives, and contact lists.
Process incoming and outgoing mail and correspondence.
Handle confidential information with discretion and professionalism.
Ensure accuracy and proper maintenance of church records and files.

Financial & Office Support

Perform light bookkeeping duties, including recordkeeping, donation tracking, and basic financial reporting support.
Assist the Treasurer with administrative support related to accounting records as requested.
Utilize QuickBooks or similar software for basic bookkeeping functions when needed.
Monitor, order, and maintain office supplies and materials.

Communications & Outreach

Assist with parish communications, including email marketing campaigns and website updates.
Create, schedule, and manage content on social media platforms, including Facebook and other digital communication channels.
Design flyers, announcements, event materials, and promotional content using Canva or similar design tools.
Assist with maintaining the church website and online presence.

Event Coordination

Coordinate and schedule baptisms, weddings, funerals, meetings, and special parish events in collaboration with clergy.
Support event planning, communications, and logistical arrangements.

Office Operations

Maintain a clean, organized, welcoming, and professional office environment.
Ensure office security and proper procedures are followed when the office is unattended.
Support day-to-day parish operations and special projects as assigned.

QUALIFICATIONS

Required

Previous administrative, secretarial, receptionist, or office experience.
Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace (Gmail, Calendar, Docs), email systems, and general office software.
Excellent written and verbal communication skills.
Professional telephone etiquette and customer service skills.
Strong organizational, multitasking, and time-management abilities.
Experience managing calendars, appointments, meetings, and scheduling.
Ability to work independently and follow established procedures.
Strong attention to detail and accuracy.
Ability to maintain strict confidentiality and handle sensitive information.
Dependable, punctual, professional, and trustworthy.

Preferred

Experience working in a church, nonprofit, or mission-driven organization.
Experience with QuickBooks or similar bookkeeping software.
Experience with Constant Contact, Mailchimp, or similar email marketing platforms.
Experience managing social media accounts and digital communications.
Familiarity with website content management systems.
Experience with Canva or similar graphic design software.
Familiarity with church operations and volunteer coordination.
Knowledge of Armenian language and/or Armenian community life is a plus.
Experience with membership databases or church management software.
Bilingual abilities are highly desirable.
