Full Job Description

Overview
We are looking for a highly organized and detail-oriented Office Administrator & Inventory Manager to join our team. This role is vital in ensuring smooth day-to-day office operations while maintaining accurate control of inventory across multiple locations. The right candidate will bring strong leadership skills, process-driven thinking, and a proactive approach to support both administrative and operational excellence.

Key Responsibilities

Perform general administrative tasks to support daily office operations
Develop and implement strategic inventory management plans to maintain optimal stock levels
Analyze inventory data to anticipate future needs, avoid shortages, and prevent overstock situations
Collaborate with procurement to replenish inventory efficiently using Min/Max adjustments
Prepare and run reports on aged, serialized, and discontinued inventory items
Oversee stock balancing between locations and conduct regular audits and reconciliations
Create and maintain training manuals and process documentation for inventory and office procedures
Continuously review and improve inventory control systems and workflows
Coordinate with vendors and suppliers to resolve discrepancies and ensure timely deliveries
Manage incoming calls, emails, and correspondence while providing excellent customer service
Organize and maintain filing systems (both physical and digital)
Schedule and support internal/external meetings, appointments, and events
Track expenses related to office operations and inventory to support budget management
Ensure compliance with company policies, safety guidelines, and industry standards

Qualifications

Bachelor’s degree preferred; 5–8 years of experience in office administration, inventory management, supply chain, or distribution
Proven leadership experience in managing office operations and inventory processes
Strong organizational and analytical skills with attention to detail
Proficiency with MS Office Suite and familiarity with inventory/ERP systems (QuickBooks Online, NetSuite, Fishbowl, or similar)
Excellent time management skills to prioritize multiple tasks effectively
Strong written and verbal communication skills for reporting and customer interaction
Experience creating and training staff on administrative and inventory procedures
Ability to thrive in a fast-paced environment and adapt to changing needs
