Office Administrator / Bookkeeping Assistant

$29/hour | Full-Time | Westbury, NY (On-Site)

About the Role

We are seeking a highly organized and dependable Office Administrator / Bookkeeping Assistant to support day-to-day operations at a fast-paced, design-driven company.

This is an entry-to-mid level role ideal for someone who thrives in a structured environment, enjoys keeping things organized, and is comfortable supporting both administrative and basic bookkeeping functions.

You will work directly with leadership and play a key role in keeping the office running smoothly.

Key Responsibilities

OfficeAdministrative Support

Manage incoming mail, scanning, and document organization
Maintain digital files and ensure proper documentation across jobs
Support day-to-day office coordination and administrative needs
Assist with scheduling, follow-ups, and general office logistics

Bookkeeping Support

Generate client invoices and follow up on outstanding balances.
Enter data into QuickBooks and internal systems
Enter cash receipts and scan supporting documentation
Process vendor bills and ensure timely and accurate processing of payments.
Code credit card purchases utilizing QuickBooks Online bank feed

Operational Support

Ensure job documentation is complete and properly stored
Assist in maintaining consistency between office records and financial data
Provide general support to leadership as needed

What We're Looking For

Core Traits

Highly organized and detail-oriented
Reliable and consistent with strong follow-through
Comfortable working in a fast-paced office environment
Strong communication skills and professional demeanor

Experience

Prior office or administrative experience preferred
Exposure to bookkeeping or accounting tasks is a plus
Construction or trades experience is a plus
Basic familiarity with QuickBooks Online

CompensationSchedule

$29/hour (full-time)
Monday–Friday, 9:00 AM – 5:00 PM (on-site)
Benefits include medical insurance, 401(k), paid holidays, and PTO
