About Leimkuehler Orthotic-Prosthetic Center

Leimkuehler Orthotic-Prosthetic Center is a trusted, family-owned healthcare company serving Northern Ohio for over 75 years. We provide innovative, custom prosthetics and orthotics that help people regain mobility and independence. With multiple clinics and in-house fabrication, we combine compassionate care, modern technology, and proven craftsmanship to deliver the highest level of patient outcomes.

About the Role

We are seeking an experienced, dependable, and patient-focused Patient Care & Medical Billing Specialist to join our Amherst team.

This is a unique hybrid position combining patient care coordination/front-office responsibilities with medical billing and revenue-cycle support. The ideal candidate enjoys working directly with patients but also understands the importance of accurate insurance verification, documentation, claims processing, accounts receivable, and reimbursement.

This position requires someone who can comfortably move between patient-facing responsibilities and detailed billing work. Strong organization, attention to detail, follow-through, communication, and problem-solving skills are essential.

Experience in medical billing, insurance, or revenue cycle is strongly preferred.

Work Environment

In-office only (no remote work), floating between locations as needed/scheduled
Schedule: Monday-Friday, 8:00am-4:30 M, T, Th; 8:00am-5:00pm W, 7:00am-3:00pm Fri - Some flexibility may be available to start and end times.
Location: Primary office in Amherst, OH , with required training and occasional travel to surrounding regional offices in North Olmsted and Sandusky on an as-needed basis.
Employment: Hourly, full-time, non-exempt.

Key Responsibilities

Maintain a welcoming, professional, and compassionate front-desk presence
Answer phone calls, emails, and text inquiries from patients
Handle patient questions and direct clinical concerns to appropriate staff
Register new patients and update existing patient demographics in the EMR
Confirm patient identity and maintain HIPAA compliance at all times
Schedule, reschedule, and manage patient appointments
Check patients in and out for appointments
Verify insurance eligibility, benefits, deductibles, coinsurance, and coverage requirements
Educate patients regarding insurance benefits and estimated out-of-pocket responsibility
Collect patient payments, deductibles, estimated out-of-pocket expenses, and outstanding balances
Provide receipts and maintain accurate payment documentation
Reconcile daily payments and assist with end-of-day reporting
Assist with forms completion and provide necessary paperwork to patients
Scan and upload documents into the EMR
Track and follow up on missing prescriptions, physician notes, standard written orders and other required documentation from referring providers

Assist with prior authorization and insurance documentation requirements as needed
Communicate appointment reminders via phone, text, or email
Support clinical staff by ensuring exam rooms and schedules are prepared
Communicate with patients regarding balances and insurance-related questions in a professional and compassionate manner
Work collaboratively with the billing team, clinicians, administrative staff, and management to resolve reimbursement issues
Review claims for accuracy and completeness prior to submission
Maintain knowledge of payer policies, Medicare/Medicaid requirements, commercial insurance guidelines, and company billing procedures
Perform general office tasks including typing, printing, scanning, faxing, and emailing
Utilize Microsoft Office (Teams, Word, Excel, PowerPoint, Outlook)
Participate in training or process improvement initiatives as assigned
Additional responsibilities and tasks as assigned by management.

Minimum Qualifications

High school diploma and/or GED; Additional schooling, certifications in medical, medical billing, healthcare administration, etc.
Minimum 2–4 years of experience in a medical office, medical billing, patient access, revenue cycle, or similar healthcare administrative role
Working knowledge of health insurance terminology and processes
Experience verifying insurance eligibility and benefits
Strong computer and technology skills
Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams
Ability to learn new EMR, billing, and practice-management systems
Strong written and verbal communication skills
Excellent attention to detail and organizational skills

Preferred Skills & Characteristics

2+ years of direct medical billing or revenue-cycle experience
Experience with claims submission, A/R follow-up, denials, appeals, and payment review
Medicare, Medicaid, and commercial insurance experience
Knowledge of CPT, HCPCS, and ICD-10 coding
Orthotic and prosthetic (O&P), DME, specialty practice, or durable medical equipment billing experience
Experience with prior authorizations and medical-necessity documentation
Associate or bachelor's degree in healthcare administration, business, medical billing, or related field
Medical billing/coding or revenue-cycle certification
Dependable: reliable, punctual, and consistent

Self-Starter: able to work independently with minimal supervision
Organized and high attention to detail
