Job Title: Receptionist / Administrative Coordinator
Department: Property Management
Reports To: Director of Operations
Position Summary
The Receptionist / Administrative Coordinator is the first point of contact for residents, prospects, vendors, and guests. This role is responsible for providing exceptional customer service while supporting the daily administrative operations of the property. The position serves as the primary administrative support for the Salem office and works closely with the Assistant Portfolio Managers (APMs) and Leasing team, assisting wherever needed within their capacity. This role requires strong organizational skills, attention to detail, and the ability to multitask in a fast-paced environment.
Essential Duties & Responsibilities
Reception & Customer Service

Greet residents, prospective residents, vendors, and visitors in a professional and welcoming manner.
Answer and direct incoming phone calls and emails.
Respond to resident inquiries and provide excellent customer service.
Maintain a clean, organized, and professional front office.

Administrative Responsibilities

Serve as the primary administrative support for the Salem office.
Complete filing, scanning, copying, and document management.
Maintain resident files and ensure all documentation is accurate and complete.
Process incoming and outgoing mail and deliveries.
Order and maintain office supplies.
Assist with preparing reports, notices, correspondence, and other administrative documents.
Assist with scheduling appointments and coordinating meetings.

Property Management Support

Work daily in Yardi Voyager and Yardi CRM.
Assist with resident account administration.
Prepare and send lease renewal offers.
Generate renewal paperwork and ensure timely follow-up.
Assist with move-in and move-out documentation.
Process applications and maintain applicant records.
Help manage waitlists and resident communications.
Update resident information and property records.
Assist with notices, lease documentation, and compliance paperwork.

Leasing Support

Support the leasing team during high-volume periods.
Assist with prospect follow-up.
Schedule property tours.
Answer leasing inquiries.
Assist with application processing and lease paperwork.
Help achieve occupancy goals by supporting leasing operations.

Assistant Portfolio Manager Support

Provide administrative support to the APMs as needed.
Assist with special projects and reporting.
Help coordinate vendors and maintenance requests.
Maintain accurate records and tracking logs.
Assist with compliance audits and file reviews.
Perform additional administrative tasks to support overall property operations.

Qualifications

High School Diploma or GED required.
Previous receptionist, administrative, leasing, or property management experience preferred.
Experience using Yardi Voyager and Yardi CRM is preferred (or the ability to learn quickly).
Strong computer skills, including Microsoft Office (Word, Excel, Outlook).
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Professional demeanor with exceptional customer service skills.
Ability to prioritize multiple responsibilities while maintaining accuracy.

Position Expectations
This position is more than a traditional receptionist role. The Receptionist / Administrative Coordinator is expected to function as the administrative hub of the Salem office while providing hybrid support to the Assistant Portfolio Managers and Leasing team. Success in this role requires flexibility, initiative, and a willingness to assist across departments to ensure efficient property operations and an outstanding resident experience.

Requirements:

· High school diploma or GED certificate

· Associate degree or bachelor’s degree preferred

· Administrative or clerical experience (2 years)

· Computer proficiency

· Organizational and time management skills

The Company offers a competitive hourly rate ($21-$24 based on experience), and a comprehensive benefits package including health, optional dental and vision coverage, PTO, short-term disability, 401K match and more!

Must be available for Monday-Friday daytime schedule. This is an in-person role at our Fairview Heights, IL office.
