Full Job Description

Overview

Right at Home is seeking a dedicated, detail-oriented Home Care Scheduling Coordinator to join our dynamic home care team. The ideal candidate is highly organized, communicates effectively, and has a strong understanding of home care operations and customer service. In this role, you will manage the daily scheduling of home care services, coordinate with clients, caregivers, and healthcare professionals, and help ensure seamless, reliable service delivery.

This position is essential to maintaining the high standard of care that Right at Home is known for while supporting operational efficiency in a fast-paced environment. The successful candidate will thrive in a collaborative setting, demonstrate strong problem-solving skills, and remain calm and responsive when managing scheduling changes, urgent requests, and staffing needs.

Responsibilities

Develop and maintain accurate schedules for caregivers, ensuring optimal coverage and timely service delivery.
Communicate effectively with clients, caregivers, and healthcare professionals via phone, email, and internal messaging systems (WellSKy) to coordinate appointments and address scheduling conflicts..
Manage data entry related to client demographics, service plans, and billing information with precision and attention to detail.
Maintain internal communication channels to facilitate smooth workflow among team members and ensure adherence to care plans.
Prioritize tasks efficiently while managing multiple schedules simultaneously in a fast-paced environment.
Maintain accurate records within scheduling and office management systems.
Assist with recruiting, hiring, onboarding, training and personnel management.
Performs various supervisory activities for scheduling appropriate caregivers to clients; timecard processing, where necessary; and monitoring of telephony system and other payroll responsibilities as needed. Performs other office coordination duties.
Perform general administrative and office coordination duties as assigned

Requirements

High school graduate or equivalent with two years of experience in a business office setting.
Able to work independently, demonstrating sound judgment.
Proven experience in administrative roles within healthcare settings, preferably in home care or managed care environments.
Be available as required for paid on-call duty outside of normal office hours.
Proficiency in Microsoft Office applications including Word, Excel, and Outlook for documentation and communication purposes.
Strong knowledge of health insurance procedures, third-party billing processes, and the revenue cycle management process.
Excellent customer service skills with the ability to communicate clearly via phone and written correspondence.
Demonstrated ability to manage schedules effectively while maintaining accuracy through data entry and typing skills.
Knowledge of managed care protocols and experience working within healthcare compliance standards is highly desirable.
Bilingual abilities are preferred to serve diverse patient populations effectively.
Proficiency in using scheduling systems such as ClearCare/WellSky. We can provide training if necessary, but we need familiarity with a scheduling system.
Availability for paid on-call duties outside of standard business hours
