Full Job Description

Job Summary

We are seeking a detail-oriented and proactive Accounts Receivable Clerk to join our dynamic finance team. In this role, you will be responsible for managing the company’s incoming payments, ensuring accurate recording of receivables, and maintaining positive relationships with clients. Your expertise in accounting systems, financial software, and collections management will be essential to streamline our billing processes and support our financial health. This position offers an exciting opportunity to contribute to a fast-paced environment where your analytical skills and attention to detail will make a significant impact.

Duties

Process and record incoming payments using accounting software such as QuickBooks, Sage, or PeopleSoft, ensuring accuracy and timeliness.
Reconcile accounts receivable ledger by verifying transactions with client accounts and resolving discrepancies efficiently.
Manage collections accounts by following up on overdue invoices through phone calls, emails, or written correspondence while maintaining professional customer service standards.
Prepare and send customer invoices, billing statements, and journal entries in accordance with GAAP (Generally Accepted Accounting Principles).
Perform detailed Excel data analysis using formulas and spreadsheets to identify trends, aging reports, and outstanding balances.
Assist in account reconciliation activities for both accounts receivable and accounts payable using various financial systems.
Support month-end closing processes by preparing reports, analyzing data, and ensuring compliance with SOX (Sarbanes-Oxley Act) controls.
Communicate effectively with clients regarding billing inquiries or disputes while demonstrating excellent phone etiquette and client communication skills.
Maintain accurate records of all financial transactions, including data entry of debits & credits into accounting systems.
Collaborate with the accounting team on technical accounting tasks such as double entry bookkeeping, journal entries, and analysis of financial concepts.

Skills

Strong knowledge of accounting principles including GAAP and SOX compliance.
Proficiency in financial software such as QuickBooks, Sage, PeopleSoft, or similar systems; experience with billing software is a plus.
Advanced Excel skills including formulas, data analysis, spreadsheets management, and Excel data analysis techniques.
Experience managing collections accounts and executing account reconciliation procedures effectively.
Excellent data entry skills with high accuracy (10 key typing proficiency).
Demonstrated ability in accounts receivable management within a corporate or governmental accounting environment.
Strong understanding of technical accounting concepts such as debits & credits, journal entries, double entry bookkeeping.
Exceptional organizational skills combined with analysis skills to interpret complex financial data.
Effective communication skills for client interaction via phone or written correspondence; professional phone etiquette is essential.
Ability to work independently as well as collaboratively within a team environment while adhering to strict deadlines.
