Job Summary
We are seeking a dynamic, dog loving, team player that is a highly organized Business Office Manager to lead the administrative and operational functions of our office environment. This pivotal role involves overseeing daily office activities, managing vendor relationships, supervising our in person and remote team members, and ensuring smooth scheduling and communication across departments. The ideal candidate will bring a proactive attitude, exceptional organizational skills, and a passion for creating efficient workflows that support our team’s success. As a key leader in our organization, you will foster a positive work environment while maintaining meticulous attention to detail in all aspects of office management.

Responsibilities

Oversee daily office operations, including front desk management, multi-line phone systems, and general clerical duties to ensure seamless workflow.
Supervise administrative staff, providing training, development opportunities, and performance feedback to foster a motivated team.
Manage scheduling for meetings, appointments, and events, ensuring optimal calendar organization for leadership and staff.
Coordinate vendor relationships, including negotiating contracts, managing supplies, and ensuring timely service delivery.
Oversee bookkeeping and financial tasks using QuickBooks software to maintain accurate records of expenses and invoices.
Oversee human resources functions such as payroll processing, employee onboarding, benefits administration, and compliance with employment laws.
Plan and execute company events or team-building activities to promote engagement and morale.
Maintain organized filing systems—both digital and paper—to ensure easy retrieval of documents such as medical records or legal paperwork.
Maintain Tech Stack for optimal effectiveness including data management, navigating integrations, launching new features, maintaining compliance and functionality.
Support office budgeting efforts by monitoring expenditures and preparing financial reports for management review.
Ensure excellent communication across departments through effective email correspondence, phone etiquette, and clear internal messaging.

Requirements

Proven experience in office management or administrative leadership roles within a professional setting.
Supervising experience with demonstrated ability to lead teams effectively.
Strong proficiency in QuickBooks or comparable bookkeeping/accounting software.
Excellent organizational skills with the ability to manage multiple priorities simultaneously.
Experience with event planning, vendor negotiations, and calendar management tools.
Knowledge of human resources processes including payroll administration and employee onboarding.
Familiarity with office management in a service related business is a plus but not required.
Exceptional communication skills—both verbal and written—and professional phone etiquette.
Ability to handle confidential information with discretion and integrity.
