Overview
We are seeking a dynamic and personable Front Desk Associate to be the welcoming face of our organization. This energetic role involves managing front office operations, providing exceptional customer service, and ensuring smooth administrative workflows. The ideal candidate will possess strong organizational skills, be highly attentive to detail, and thrive in a fast-paced environment. Your positive attitude and proactive approach will help create a professional and friendly atmosphere for clients, visitors, and team members alike.

Duties

Greet visitors, clients, and staff with enthusiasm and professionalism, creating a welcoming environment.
Manage multi-line phone systems efficiently, directing calls accurately and courteously.
Handle all front desk responsibilities including scheduling appointments, maintaining calendars, and coordinating meetings.
Perform data entry tasks using Microsoft Office, Google Workspace, and other office management software with precision.
Maintain organized filing systems and ensure all documents are accurately proofread and stored securely.
Support office management tasks such as supply inventory, basic bookkeeping with QuickBooks, and clerical duties like photocopying and faxing.
Provide excellent customer support by addressing inquiries promptly and professionally while demonstrating strong phone etiquette.
Assist with administrative projects including proofreading documents, managing emails, and supporting personal assistant tasks as needed.

Experience

Prior office experience or administrative support roles demonstrating strong organizational skills.
Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace, and data entry tools.
Experience with multi-line phone systems and handling high-volume calls with professionalism.
Bilingual abilities are highly desirable to serve diverse client needs effectively.
Knowledge of office management procedures such as filing systems, calendar management, and record keeping is preferred.
Clerical experience involving proofreading, data entry, or bookkeeping (QuickBooks) is advantageous.
