Maintenance Supervisor Position Summary - Apartments
We are seeking an experienced, highly organized, and results-driven Maintenance Supervisor to lead the daily maintenance operations of a fast-paced multifamily portfolio. This position requires the ability to coordinate maintenance operations, apartment turns, preventative maintenance, vendor relationships, purchasing, and administrative responsibilities—all while ensuring projects are completed efficiently, safely, and to the highest quality standards.
Key ResponsibilitiesLeadership & Team Development
- Lead, mentor, and develop a high-performing maintenance team while promoting accountability, professionalism, and teamwork.
- Supervise, schedule, and support maintenance technicians to maximize productivity and operational efficiency.
- Coach, train, and evaluate team performance while providing ongoing feedback and development opportunities.
- Participate in recruiting, onboarding, performance management, and disciplinary processes in partnership with Property Management and Human Resources.
- Coordinate and manage on-call schedules to ensure timely emergency response coverage.
- Foster a culture of urgency, ownership, continuous improvement, and exceptional customer service.
Operations & Work Order Management
- Oversee all maintenance operations in a fast-paced environment while successfully managing multiple priorities simultaneously.
- Prioritize and assign work orders based on urgency, resident impact, technician skill level, and operational demands.
- Monitor work order completion to ensure company response time expectations and quality standards are consistently achieved.
- Review technician documentation for accuracy and ensure timely follow-up with residents and management.
- Maintain accurate and organized records within the property management system.
- Demonstrate exceptional multitasking skills by balancing service requests, apartment turns, preventative maintenance, inspections, emergencies, administrative tasks, and vendor coordination without sacrificing quality or efficiency.
Apartment Turns (Make-Readies)
- Oversee all apartment turn schedules to support occupancy goals and minimize vacancy loss.
- Coordinate closely with Property Management to ensure apartments are completed on schedule.
- Inspect completed apartments to verify quality workmanship and move-in readiness.
- Hold vendors and internal teams accountable for meeting deadlines and maintaining company standards.
- Continuously identify opportunities to improve efficiency while maintaining superior quality.
Vendor & Project Management
- Coordinate third-party vendors for specialized repairs, preventative maintenance, and capital improvement projects.
- Obtain bids, negotiate services, schedule work, and oversee project completion.
- Monitor vendor performance to ensure compliance with company policies, insurance requirements, safety standards, budgets, and deadlines.
Preventative Maintenance & Compliance
- Develop, implement, and oversee preventative maintenance programs that protect company assets and reduce long-term repair costs.
- Conduct routine inspections of buildings, grounds, equipment, and vacant apartments to proactively identify maintenance needs.
- Ensure compliance with OSHA regulations, Fair Housing requirements, local building codes, and company policies.
- Promote a safe work environment through regular safety meetings, inspections, and training.
Inventory, Purchasing & Budget Management
- Manage maintenance inventory, tools, equipment, and supplies to ensure uninterrupted operations.
- Create purchase orders and oversee procurement of maintenance materials and services.
- Monitor maintenance expenses and identify cost-saving opportunities while maintaining quality standards.
- Ensure all purchases are properly documented, approved, and aligned with budget expectations.
- Maintain organized records of inventory, vendor transactions, purchasing activity, and operational expenses.
Administrative & Systems Management
- Complete all assigned Asana tasks accurately and within required deadlines.
- Maintain real-time updates in Asana to ensure visibility, accountability, and operational efficiency.
- Utilize Asana to track work orders, apartment turns, preventative maintenance schedules, inspections, recurring responsibilities, and departmental projects.
- Perform monthly company credit card reconciliations, ensuring timely submission of receipts, accurate coding, and financial accountability.
- Partner closely with Property Management and Accounting to ensure operational and financial alignment.
- Ensure maintenance technicians have the tools, equipment, and resources needed to perform their responsibilities effectively.
Resident Experience
- Deliver exceptional customer service by ensuring maintenance concerns are resolved promptly and professionally.
- Communicate repair timelines clearly with residents and management.
- Resolve escalated maintenance concerns with professionalism, urgency, and sound judgment.
- Support resident retention by consistently providing high-quality maintenance services and positive resident interactions.
Qualifications
- High school diploma or equivalent required; technical or trade school certification preferred.
- EPA Certification required; HVAC, CPO, or additional industry certifications preferred.
- Minimum of 3–5 years of multifamily maintenance experience required.
- Previous maintenance supervisory experience strongly preferred.
- Extensive knowledge of HVAC, plumbing, electrical, appliance repair, carpentry, drywall, and general building maintenance.
- Experience using property management software, work order systems, mobile maintenance applications, and Microsoft Office.
- Valid driver's license and reliable transportation required.
Work Environment & Schedule
- Full-time, on-site leadership position.
- Frequent travel between scattered-site properties as needed.
- Participation in an after-hours rotating on-call schedule is required.
