Administrative Assistant / Licensed Real Estate Assistant

Real Estate Brokerage & Property Management — Burlington, WI

Location: Burlington, Wisconsin
Position: Full-Time Administrative Assistant / Licensed Real Estate Assistant
Schedule: Flexible, with regular in-office hours
Compensation: Competitive pay based on experience and qualifications

About the Position

We are looking for an organized, dependable, and outgoing Administrative Assistant / Licensed Real Estate Assistant to join our growing real estate brokerage and property management team in Burlington, WI.

This is a varied position that combines office administration, property management, real estate transaction support, social media, and assisting our agents. The ideal candidate enjoys working with people, is comfortable using technology, can stay organized while managing multiple responsibilities, and is willing to jump in wherever needed.

A Wisconsin real estate license is required or the candidate must be willing and qualified to obtain one.

Key Responsibilities

Property Management & AppFolio

Assist with beginning-of-month rent and association dues collection through AppFolio.
Monitor accounts and assist with follow-up on outstanding balances.
Assist with routine property management administrative tasks.
Maintain accurate records and documentation within AppFolio.

Real Estate Transaction Support

Assist licensed agents with preparing and completing real estate contracts and related documents.
Assist with showings and other client-related activities as needed.
Help agents with administrative tasks throughout the buying and selling process.
Occasionally assist agents with entering and maintaining property listings in the MLS.
Coordinate ordering, placement, and removal of real estate signs.

Office Administration

Staff the office front desk during scheduled in-person hours.
Answer phones, greet clients and visitors, and respond to general inquiries.
Maintain an organized and professional office environment.
Monitor and stock office supplies.
Stock office groceries, beverages, and other common supplies.
Assist with general administrative projects as needed.

Marketing & Social Media

Manage and maintain the company's social media presence across applicable platforms.
Create, schedule, and publish social media content.
Assist agents with social media and marketing needs.
Help promote listings, company events, community involvement, and company activities.
Monitor engagement and help maintain a consistent online presence.

Events & Community Activities

Help organize and coordinate company events and activities.
Assist with planning the annual Christmas party.
Help coordinate the company's participation in the local Christmas parade.
Assist with other community events, client events, and office activities throughout the year.

What We're Looking For

The ideal candidate is:

Wisconsin licensed real estate salesperson or willing and qualified to become licensed.
Highly organized and detail-oriented.
Friendly, professional, and comfortable interacting with clients and the public.
Comfortable working independently and managing multiple priorities.
Proficient with computers, email, Microsoft Office/Google Workspace, and social media.
Willing to learn and utilize AppFolio and real estate-related software.
Comfortable learning and working with MLS systems.
Able to maintain confidentiality and handle sensitive financial and client information.
Dependable and willing to take initiative.
Someone who enjoys being part of a small, team-oriented business.
