We are seeking an organized, dependable, and service-oriented Administrative & Human Resources Coordinator to join our growing leadership support team. This position is ideal for someone who enjoys creating organized systems, supporting employees, and helping an organization operate efficiently behind the scenes.

As one of the first people employees, volunteers, community partners, and visitors interact with, this individual plays an important role in creating a professional, welcoming, and mission-driven environment.

Responsibilities

Position Summary

The Administrative & Human Resources Coordinator provides administrative and human resources support to Catholic Urban Programs by coordinating daily office operations, supporting recruitment and onboarding, maintaining personnel records, assisting with Board administration, and helping ensure organizational compliance.

This position serves as a trusted resource to the Executive Director and leadership team while maintaining the highest level of professionalism, confidentiality, and customer service.

What You'll Do

Administrative Support

Provide administrative support to the Executive Director and leadership team.
Coordinate calendars, meetings, and organizational events.
Prepare meeting agendas, minutes, reports, and correspondence.
Manage office operations, supplies, and vendor relationships.
Welcome visitors and serve as the primary point of contact for the office.
Coordinate Board meeting logistics and maintain Board records.

Human Resources Support

Coordinate recruitment activities, interview scheduling, and new hire onboarding.
Maintain confidential employee personnel files.
Track required employment documentation, annual evaluations, background checks, and training requirements.
Assist with employee benefits administration and payroll-related documentation.
Coordinate employee recognition and service anniversary programs.
Support HR compliance, personnel audits, and organizational recordkeeping.

Organizational Support

Assist with grant-related personnel documentation.
Maintain organized filing systems and administrative records.
Support special projects and continuous improvement initiatives.
Help foster a positive, collaborative workplace culture.

Qualifications

Associate degree in Business Administration, Human Resources, Office Administration, or a related field preferred (equivalent experience considered).
Minimum of two (2) years of administrative or office coordination experience.
Human resources, onboarding, payroll, or personnel administration experience preferred.
Excellent organizational and communication skills.
Proficiency in Microsoft Office Suite.
Ability to maintain strict confidentiality.
Valid driver's license and reliable transportation.
