Job Summary

We are seeking a dynamic and organized Secretary/Receptionist to be the welcoming face and administrative backbone of our team. In this vital role, you will manage front desk operations, handle incoming communications, and support daily office functions with enthusiasm and professionalism. Your proactive approach will ensure smooth office workflows, excellent client interactions, and a positive environment for staff and visitors alike. This paid position offers an exciting opportunity to develop your administrative skills while contributing to a vibrant workplace.

Responsibilities

Greet visitors, clients, and vendors warmly, providing exceptional customer service at all times
Answer multi-line phone systems promptly and professionally, practicing excellent phone etiquette
Manage front desk activities including scheduling appointments, handling inquiries, and directing calls efficiently
Perform data entry, filing, and document proofreading to maintain accurate records and correspondence
Support office management tasks such as supply ordering, mail distribution, and basic bookkeeping with QuickBooks or similar software
Assist with clerical duties including typing reports, managing client communication, and maintaining organized files
Being able to grab parts whenever needed from dealers or vendors

Skills

Bilingual proficiency to communicate effectively with diverse clients and team members. preferably (Spanish, English)
Strong office management skills with experience in administrative support roles
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications
Excellent computer literacy with the ability to perform data entry, word processing, and basic bookkeeping tasks
Demonstrated experience in customer service, front desk operations, and multi-line phone systems
Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively
Knowledge of clerical procedures such as filing, proofreading, calendar management, and phone reception etiquette
Personal assistant experience or office experience that showcases strong communication skills and attention to detail
