Full Job Description

Lake Michigan Heating, Cooling & Plumbing is looking for a highly organized, dependable, and proactive Office Manager to oversee the daily operations of our busy HVAC and plumbing office.

This position is ideal for someone who can confidently manage multiple priorities, support technicians and leadership, communicate professionally with customers, and take ownership of keeping the office running smoothly. The right person will be a strong problem-solver who notices what needs to be done and follows it through to completion.

Key Responsibilities

Oversee daily office operations and help coordinate the workflow of the company
Answer incoming calls, assist customers, and schedule service appointments
Dispatch HVAC and plumbing technicians based on location, availability, and job priority
Monitor the daily schedule and adjust appointments as situations change
Communicate with customers regarding scheduling, job status, financing, and follow-up
Prepare and submit permits, equipment registrations, warranties, and utility rebates
Maintain accurate customer, job, and employee records
Assist with invoicing, payment collection, financing paperwork, and basic bookkeeping
Review job notes and paperwork for accuracy and completion
Track company performance through reports, spreadsheets, KPIs, and daily measurements
Help monitor technician efficiency, job profitability, call-booking rates, and other operational results
Calculate or assist with employee commissions and incentive programs
Support recruiting, applicant screening, interviewing, onboarding, and employee training
Coordinate company meetings, training sessions, and employee events
Maintain office procedures and help create or improve systems as the company grows
Assist ownership with administrative projects, reporting, marketing, and operational needs
Support company marketing efforts, including social media, online advertising, promotions, and customer communications

Qualifications

Previous office management, dispatching, administrative, or operations experience
Strong organizational skills and attention to detail
Excellent written and verbal communication skills
Ability to remain calm and make decisions in a fast-paced environment
Comfortable managing multiple schedules, deadlines, and priorities
Strong customer-service and conflict-resolution skills
Proficiency with Microsoft Office, Google Workspace, and spreadsheets
Ability to learn new software and processes quickly
Experience handling confidential employee and company information
Dependable, professional, and willing to take ownership of responsibilities

Experience with ServiceTitan, HVAC, plumbing, home services, construction, or skilled trades is preferred but not required.

Schedule

Full-time
Monday through Friday
Typical hours: 7:30 a.m.–4:00 p.m.
Rotating Saturday coverage may be required
