Job Summary

The Risk & Compliance Specialist will be responsible for supporting the company’s risk prevention, compliance, fraud prevention, internal auditing, including audits of the Purchasing and Inventory departments, OSHA/safety documentation, and employee compliance efforts. This role is essential in helping ensure that company processes, employee records, vendor and sales representative documentation, safety-related requirements, and operational controls are properly maintained and aligned with company policies and applicable regulations.

The ideal candidate is detail-oriented, organized, ethical, and capable of identifying potential risks, documentation gaps, process inconsistencies, and compliance concerns. This position will work closely with Human Resources, Operations, Sales, Purchasing, Inventory, Finance, and leadership to help reduce exposure, strengthen internal controls, and promote a culture of accountability and compliance within a solar energy environment.

Key Responsibilities

1. Risk Prevention & Internal Controls

Identify, document, and escalate potential operational, employee, vendor, sales, safety, or compliance-related risks.
Support the development and monitoring of internal controls to reduce exposure to fraud, documentation gaps, safety concerns, and non-compliance.
Review company processes and documentation to ensure proper controls are in place across Sales, Operations, Human Resources, Purchasing, Inventory, and field-related activities.
Track recurring risk areas and recommend corrective actions or process improvements.
Maintain clear and organized records of findings, follow-ups, and pending corrective actions.

2. Compliance & Documentation Audits

Conduct periodic audits of employee files, onboarding documents, vendor records, sales representative documentation, purchasing and inventory records, safety records, and operational files.
Conduct periodic audits of the Purchasing and Inventory departments, including purchase requisitions and orders, approval workflows, vendor documentation, receiving records, inventory counts, stock movements, transfers, reconciliations, and adjustments; identify discrepancies, control gaps, or policy violations and recommend corrective actions.
Verify that employees, contractors, vendors, and sales representatives have completed required documentation, acknowledgments, agreements, trainings, and compliance-related forms.
Ensure required records are complete, accurate, properly signed, and maintained in the appropriate systems or files.
Follow up with employees, managers, vendors, or representatives regarding missing or incomplete compliance items.
Assist with internal compliance initiatives, policy acknowledgments, and documentation tracking.

3. Fraud Prevention & Sales Representative Compliance

Review documentation and processes to detect inconsistencies, red flags, irregularities, or potential fraudulent activity.
Support fraud prevention efforts related to sales representatives, customer documentation, vendor activity, employee records, and operational processes.
Conduct audits of solar sales representatives and vendors to confirm compliance with company policies, ethical standards, and documentation requirements.
Escalate suspected fraud, misrepresentation, falsified documents, customer-related concerns, or policy violations to the appropriate leadership team.
Assist with internal reviews or investigations by gathering records, organizing facts, and maintaining accurate documentation.

4. OSHA, Safety & Field Compliance

Support OSHA and workplace safety compliance efforts by assisting with documentation, audits, and follow-up of required safety practices.
Help verify that field employees have the required safety trainings, certifications, PPE, tools, and job-related documentation.
Assist with tracking safety-related records, incident reports, corrective actions, and training completion.
Conduct or support periodic compliance checks related to field operations, installations, warehouse activity, and employee safety requirements.
Escalate missing PPE, unsafe practices, incomplete safety documentation, or recurring safety concerns to Operations, Human Resources, or leadership.

5. Employee Compliance & HR Support

Assist with onboarding compliance by ensuring new hires complete all required forms, acknowledgments, screenings, and policy documents.
Support HR in maintaining accurate employee records and ensuring compliance-related documentation is properly filed.
Help employees obtain or complete required documents, forms, system access, trainings, or acknowledgments.
Coordinate with managers to follow up on pending employee compliance items.
Support employee communications related to compliance, safety, documentation, and internal procedures.

6. Reporting & Continuous Improvement

Prepare audit summaries, compliance updates, risk findings, and follow-up reports for HR and leadership.
Identify opportunities to improve documentation processes, reduce risk, and strengthen compliance practices.
Maintain confidentiality of sensitive employee, vendor, customer, and company information.
Collaborate with Human Resources, Operations, Sales, Purchasing, Inventory, Finance, and leadership to support process improvements.
Perform other related duties as assigned.

Requirements and Qualifications

Education

Associate’s degree required.
Bachelor’s degree in Business Administration, Human Resources, Criminal Justice, Risk Management, Compliance, Occupational Safety, or a related field preferred.

Experience

Minimum of 2 years of experience in compliance, auditing, risk management, fraud prevention, safety coordination, HR operations, purchasing or inventory controls, administrative controls, or related field.
Experience in solar energy, construction, field operations, sales compliance, purchasing, warehousing, inventory control, or a regulated environment is preferred.
Experience reviewing documentation, identifying discrepancies, and preparing reports is highly preferred.
