Full Job Description

Louisville Title Agency is seeking a highly organized and detail-oriented Commercial Client Experience Specialist to join our team. In this role, you will be responsible for the initial stage of the escrow process for real estate transactions which includes coordinating with some parties involved in the transaction, gathering necessary information, and ensuring accuracy with the client file.

Responsibilities

Provides excellent customer service to all parties involved in the transaction
Utilizes all approved tools (Qualia or similar escrow software, etc.) to communicate with parties and document actions
Answers calls, emails and questions from clients and employees professionally and efficiently
Receiving and sending wire instructions
Receives new orders, reviews, and loads transaction details into Qualia including: Order Entry Form/ Purchase Details; Signed Purchase Agreement; Buyer/Seller/Realtor/Lender/Attorney contact information
Retrieves Secretary of State Documents and saves in FileScan
Locates property and any additional properties around the subject parcel(s) via various county search tools
Collects any incomplete or missing information necessary to get the file started
Updates and informs staff and answer questions as necessary
Performs other duties as assigned

Required Characteristics and Skills

Ability to prioritize and manage multiple tasks simultaneously
Professional demeanor and customer service-oriented attitude with the ability to remain positive and upbeat under any client circumstances
Ability to work collaboratively in a fast-paced, deadline-driven environment
Quick to adapt to changing circumstances, shifting priorities, and unexpected challenges
Proficient in Microsoft Office and escrow software applications including RamQuest and Close Simple
Familiarity with escrow and real estate documents and terminology
Ability to maintain strict confidentiality

Hours

This is a full-time, non-exempt position, paid hourly and located onsite Monday through Friday. At times this position may work outside of normal office hours or days of the week. Advanced notice will be given whenever possible. Though rare, this position may work overtime.

Timely and accurate completion of assigned tasks
Positive feedback from Escrow Officers, Lenders, Real Estate Agents, and Customers
Meeting or exceeding established performance goals and metrics
Consistent adherence to company policies and procedures
